What you’ll do: As the Customer Service Representative for Independent Truck Upfitters (an Aebi Schmidt brand), you will oversee the complete lifecycle of customer orders—from initial order entry through parts procurement, purchase order submission, invoicing, and communication throughout the build process. Serving as the primary point of contact for designated customers, you will manage all aspects of their orders from start to finish, ensuring accurate information flow, timely updates, and an exceptional customer experience. This role requires strong coordination across production, purchasing, engineering, and service teams to ensure seamless order fulfillment and prompt resolution of customer needs.
Job Responsibilities:
Manage end-to-end sales order workflows, including quoting, order entry, purchasing, payment processing, and invoicing.
Coordinate with production teams to ensure job readiness, scheduling accuracy, and on-time delivery.
Serve as a key point of contact for sales, customers, and internal teams regarding order status, delivery timing, and issue resolution.
Accurately track, update, and monitor order status and key milestones within ERP systems.
Respond promptly and professionally to customer inquiries, providing clear and accurate information.
Source and order parts using online parts catalogs, engineering drawings, and reference photographs.
Expedite and follow up on customer orders to ensure timely fulfillment.
Track chassis, allocation, status updates, transport, and inventory accuracy; coordinate bailment pool reporting and VIN reconciliation.
Collaborate with buyers on special or non-standard part purchases.
Prepare and issue detailed parts sales quotations.
Manage the full warranty process, including setting up and assigning warranty codes, evaluating and approving or denying claims, and identifying opportunities for vendor chargebacks.
Coordinate repairs by locating appropriate service centers and ensuring timely resolution of customer issues.
Collaborate with Technical Engineering to communicate product issues and obtain solutions.
Analyze and communicate recurring warranty trends and concerns to Manufacturing, Engineering, and Sales, and support warranty review meetings by presenting key issues and insights.
What you need to be successful:
HS Diploma or GED required
1-3 years of related experience in a manufacturing environment
Proven understanding of third-party (3PL) operations
Proficient in Microsoft 365 applications
Ability to communicate effectively
