
Enrollment Specialist

The Enrollment Specialist serves as the primary point of contact for prospective patients, students, or program participants in the medical field. This role is responsible for guiding individuals through the enrollment process, verifying eligibility, collecting documentation, and ensuring compliance with healthcare regulations. The Enrollment Specialist combines customer service excellence with detailed administrative support to ensure a smooth and compliant onboarding experience.
Requirements Required Qualifications
High school diploma or GED required; Associate’s or Bachelor’s degree preferred
1–3 years of experience in healthcare enrollment, admissions, patient services, or a related field
Knowledge of medical terminology, healthcare programs, or insurance processes preferred
Strong communication and interpersonal skills
Excellent organizational and time‑management abilities
Proficiency in electronic health records (EHR), CRM systems, or similar databases
Ability to handle confidential information in compliance with HIPAA
Preferred Skills & Competencies
Customer‑service focused with strong problem‑solving skills
Ability to work in a fast‑paced, deadline‑driven environment
Detail‑oriented with strong follow‑up skills
Bilingual abilities a plus (if applicable)
Comfortable meeting enrollment goals and performance metrics
Work Environment
Office, clinic, or remote/hybrid setting (as applicable)
May require extended periods of sitting and computer use
Occasional evenings or weekends may be required during peak enrollment periods

Responsibilities Key Responsibilities
Serve as the first point of contact for prospective enrollees via phone, email, and in‑person communication
Provide accurate information about medical programs, services, eligibility requirements, and enrollment timelines
Guide applicants through the enrollment process from inquiry to completion
Verify patient or student eligibility, insurance information, and required documentation
Collect, review, and maintain enrollment records in compliance with HIPAA and organizational policies (only could be viewed via hush email, fax, or in‑person)
Collaborate with clinical staff, billing departments, and administrative teams to ensure proper onboarding
Track enrollment data, follow up on incomplete applications, and meet enrollment targets
Address questions, concerns, and barriers to enrollment with professionalism and empathy
Ensure compliance with federal, state, and organizational healthcare regulations
Maintain confidentiality of sensitive medical and personal information
