Overview
The Property Management Specialist is responsible for supporting property management under the Leasing & Asset Management (LAM) department which oversees 1,000+ Tenants across the Ahold Delhaize USA portfolio. This role works closely with Leasing, Accounting, Vendors, Audit, In-Store Business, and Internal & External Legal Counsel to provide senior management with updates on leasing activity on company-controlled properties. Responsibilities include maintaining accounts receivable processes as well as tenant communications, work order processes and portfolio wide initiatives. This role involves preparing accounting reports, maintaining budget databases, monitoring budget submissions, and managing housing budgets to ensure financial accuracy and compliance. A key role of this employer is to lead the LAM team in improving efficiency by using software tools to monitor activities, track progress, and generate reports.
Our flexible/ hybrid work schedule includes 3 in-person days at one of our core locations and 2 remote days. Our core office locations include Salisbury, NC , Chicago, IL, Quincy, MA, Carlisle, PA, Scarborough, ME, Hyattsville, MD and Mauldin, SC.
Responsibilities
Perform lease interpretation to discern and articulate the terms and responsibilities associated with both tenant and landlord roles, identifying key contractual terms.
Prepare and refine detailed accounting reports on fixed assets within the supermarket, ensuring accuracy and compliance for submission to the landlord upon lease termination.
Oversee and maintain a comprehensive database tracking Capital Budget Projects, including budget allocations, planned expenditures, year-to-date spend, and variances, ensuring accurate and timely reporting.
Serve as the primary contact for seasonal housing property management, develop operating budgets for associate housing, process and document seasonal housing invoices, conduct first-level review and approval of invoices, and maintain a utility account database to ensure financial accuracy, efficiency, and effective coordination with third-party vendors and internal departments.
Responsible for facilitating the evaluation of competitive bids for capital work and major repair projects, ensuring effective project management and decision-making processes.
Oversee the submission process of operational budgets by third-party management companies, extracting data via Excel queries and compiling it into a single spreadsheet for brand submission post-approval.
Facilitate coordination on a shared drive, with the AR department and third-party management companies to ensure accurate tracking and timely invoicing of utility expenses for tenants.
LAM team lead for developing more efficient ways of working, utilizing software tools, such as Microsoft Forms and Power BI to monitor tenant transitions, to provide tracking capabilities and generation of on-demand metric reports.
Manage and maintain the Property Management database, which houses information pertaining to LAM managed locations, including property management company information, active tenants, and occupied/vacant suite counts.
Serve as liaison between the IT department for Microsoft Teams, SharePoint and Power BI ensuring smooth communication and efficient integration of these platforms, troubleshooting issues, creating new forms and processes as necessary, maintaining SharePoint and Teams Channels for Property Management Team and third-party management companies.
LAM lead for Vendor Master Data Management (VMDM), responsible for initiating vendor set ups for expense vendors for the Leasing & Asset Management department.
Requirements
Bachelors degree or equivalent experience 2+ years experience in a related field
Excellent verbal and written communication skills
Advanced Microsoft Office 365 skills
Property Management or commercial real estate experience
