About The Role As an Image Indexing Specialist (US Residential Mortgage) in our Operations department, you will play a critical role in ensuring that loan documents and related images are accurately captured, classified, and indexed within our systems. You will work closely with underwriting, processing, and post-closing teams to support timely and compliant loan decisioning by maintaining a clean, well-structured digital document repository. This salaried, full-time position requires strong attention to detail, familiarity with US residential mortgage documentation, and the ability to work efficiently in a fast-paced, deadline-driven environment. Your work will directly impact data integrity, regulatory readiness, and the overall customer experience by making sure the right documents are available to the right stakeholders at the right time.
What You'll Do
Review, categorize, and index incoming loan documents and images for US residential mortgage files in accordance with internal standards and investor guidelines.
Verify that all required documents are present, legible, and correctly associated with the appropriate loan file and borrower.
Identify document types (e.g., disclosures, income documentation, credit reports, appraisals, title, closing packages) and apply appropriate metadata and naming conventions.
Utilize imaging and loan origination systems to upload, organize, and maintain a complete and accurate electronic loan file.
Perform quality control checks on indexed images to ensure accuracy, completeness, and adherence to company policies and regulatory requirements.
Flag missing, inconsistent, or incorrect documentation and communicate findings to processing, underwriting, or closing teams for resolution.
Monitor work queues and prioritize tasks to meet service-level agreements and production timelines.
Collaborate with cross-functional teams to resolve indexing issues and to streamline document workflows.
Follow established procedures for handling sensitive borrower information and maintain strict data privacy and information security standards.
Support audits and reviews by ensuring documents are properly indexed and easily retrievable for internal, investor, and regulatory examinations.
Contribute to continuous improvement by identifying process gaps, suggesting enhancements, and helping document best practices.
Participate in training on system updates, policy changes, and new document types related to US residential mortgage lending.
Qualifications
High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
1+ year of experience in mortgage operations, document imaging, loan processing, or a related financial services role, preferably in US residential mortgage.
Working knowledge of common US residential mortgage documents and terminology (e.g., 1003/URLA, LE, CD, W-2s, paystubs, bank statements, appraisals, title documents).
Strong attention to detail with the ability to accurately classify and index large volumes of documents and images.
Proficiency with imaging systems, document management platforms, and/or loan origination systems (LOS); ability to learn new software quickly.
Comfort working with production metrics and deadlines, with proven ability to manage time and prioritize tasks in a high-volume environment.
Basic understanding of data privacy, security, and compliance requirements in a financial services setting.
Strong organizational skills, including the ability to maintain orderly digital records and follow standardized naming and filing conventions.
Effective written and verbal communication skills in English, with the ability to collaborate across operations, underwriting, and closing teams.
High level of integrity and professionalism when handling confidential borrower and financial information.
Ability to work independently with minimal supervision while also functioning effectively as part of a team.
