The
Director of Operations & Administration
at KASE Real Estate is a senior leadership role responsible for overseeing brokerage operations, administrative systems, and organizational effectiveness including the Mentorship program to ensure consistency, and scalability across the company. This role provides day-to-day operational leadership, aligning people, processes, and policies to support agent success and brokerage performance. The Director of Operations & Administration is not responsible for direct sales, agent production, or individual transaction coordination, but is accountable for establishing, maintaining, and enforcing operational standards, administrative systems, and performance expectations. Responsibilities
Monitor and follow up with agents regarding unpaid annual fees. Ensure all communications and resolutions are documented and handled consistently. Payroll & HR Administration
Serve as the primary point of contact with the brokerage’s HR and payroll provider (KTime). Submit biweekly payroll and review for accuracy prior to processing. Coordinate all hiring and termination paperwork to ensure proper documentation and timing. Agent Onboarding & Offboarding
Maintain a structured onboarding and offboarding process. Manage onboarding tasks across virtual assistants, front desk, marketing, and production. Respond to agent onboarding questions. Ensure contract updates are completed as needed. Mentorship Program
Designing and continuously refining the structure, policies, and operational framework of the Mentorship Program. Establish mentor qualification standards, selection criteria, and performance expectations. Responsible for Mentors, their onboarding, training, and ongoing development. Including their progress and management of each mentee. Managing mentor–mentee pairing to ensure alignment, production growth, and cultural fit. Monitoring mentorship activity, production milestones, and compliance requirements. Administering mentorship compensation structures in coordination with leadership and accounting. Ensuring all mentorship activities align with brokerage policies and state regulatory requirements. Training & Class Operations (KASE Classes)
Manage the scheduling and setup of brokerage classes and training sessions. Oversee class logistics, including invites and attendance, filming, uploads to KASE Closers, handouts, and refreshments. Review training deliverables, film and assets to ensure quality, consistency, and completion. Office & Facilities Management
Oversee admin, front desk person, maintenance and operations for the OC office and possibly all brokerage office locations in the future. Manage vendors including cleaning services, maintenance providers, utilities, printers, movers, and security systems to company manual standards. Communicate with landlords regarding facilities, access, and operational matters. Leadership & Culture
Model professionalism, accountability, and a high standard of service. Serve as a trusted point of escalation for agent concerns and operational issues. Uphold KASE’s brand, values, and leadership standards at all times. Qualifications
5+ years of residential real estate sales experience Prior leadership, coaching, or management experience strongly preferred Familiarity with high-performance brokerage models Strong understanding of California real estate compliance and brokerage operations Proven ability to influence, coach, and hold peers accountable
