
Senior Executive Assistant to C‑Suite & Board

Hilltop Holdings is looking to hire a Senior Executive Assistant to provide administrative support for multiple C-Suite Executives, including the Chief Administrative Officer and the General Counsel. The Senior Executive Assistant position will provide advanced support for top level executives by performing administrative tasks including but not limited to clerical work, receiving clients and visitors, arranging travel and correspondence, maintaining legal billing and scheduling meetings. This position will also provide support for Board of Director materials and meetings. This position is required to be on site 5 days per week.
Responsibilities
Serves as the primary administrative support partner for assigned executive Manage and maintain executive schedules, including scheduling meetings and travel as needed Process legal related invoices through Legal Tracker, ensuring that the invoices are keyed accurately and approved in a timely manner by the appropriate leader Provides administrative support for all Board of Director meetings, including coordinating travel and transportation as well as ensuring that materials are loaded into our BoardVantage tool and printed as needed. Serves as a gatekeeper for executives, prioritizing requests and calendars accordingly. Manages information flow in a timely and accurate manner Partner with other executive assistants and the receptionists to ensure adequate office supply inventory and overall operations and assist in front desk coverage during the receptionist lunch Leverages internal resources to execute on tasks a requests from executives Conveys and exchanges basic technical and factual information with colleagues May be responsible for providing basic training to new employees particularly on legal and board related systems Interact with executives and all other levels of the organization in a professional manner Other functions as needed
Qualifications
High school diploma, GED, or equivalent. Degree preferred in relevant discipline 7-10 years proven executive level experience in the field with or without progressive responsibilities Computer hardware, operating system (Windows or Mac) and software/application (MS Office, Internet Explorer, Outlook etc.) skills Ability to work independently or within a team Excellent organization and time management skills Excellent verbal and written communication skills Ability to use discretion and maintain confidentiality Ability to maintain a personable, but professional demeanor with executives and others Ability to shift priorities as needed to ensure more urgent work is handled appropriately
