Position Purpose: This position is responsible for providing professional and confidential administrative support to the Senior Executive Director of Charis Bible College. This position assists and represents the Executive Director by enhancing the department's effectiveness, building inter-departmental relationships, ensuring the successful completion of self-led projects, and providing a broad range of administrative support. Essential Duties: Assist the Executive Director by reading, researching, and routing correspondence. Work collaboratively across multiple departments to accomplish various projects and assignments. Prepare action plans from meetings, distribute to necessary parties, and ensure successful completion with intentional follow-up. Schedule meetings, navigate dynamic schedules, and ensure all required individuals are in attendance. Assist in tracking budgets and spending in multiple teams. Consult on a variety of topics, providing strategic recommendations that are both innovative and feasible. Manage Executive Directors' Outlook calendar and inbox. Progressively develop technical abilities to accomplish variable tasks and commissions. Communicate with individuals outside the Ministry in a professional, timely, and diplomatic manner. Produce professional and timely information by retrieving, transcribing, inputting, and formatting text, data, and graphics; heavily utilizing Microsoft-based applications such as Word, PowerPoint, Excel, Outlook, etc. Review/approve ministry credit card charges for the Executive Director and Operations team members. HR liaison for Charis Academics Department, such as reviewing and updating job descriptions, monitoring and approving Paycom requests, hiring and termination procedures, and attending and participating in HR training programs. Advise Executive Director on sensitive staff matters. Conduct self-led projects, implementing project management principles and strategic planning. Represent the Executive Director by attending meetings and speaking on their behalf. Other duties as assigned. Qualifications
Knowledge, Skills, and Abilities: Must demonstrate a high level of professionalism and productivity. Excellent writing, reporting, scheduling, and time management skills. Must be flexible with schedule and projects. A high degree of organization and attention to detail is required. Excellent verbal and written communication skills. Excellent problem-solving skills Excellent presentation skills. Familiar with financial statements. Knowledge of and familiarity with Project Management principles. Familiarity with organizational strategic planning. Must be able to operate a Windows-based computer and navigate Microsoft Office Suite. Able to exercise a high degree of judgment, diplomacy, and an impeccable commitment to confidentiality. Good research skills and the ability to interpret data from varied sources. Requirements: Must have a personal relationship with Jesus Christ. Must sign the Statement of Faith. A minimum of an Associate's Degree or equivalent is required. A bachelor's degree in the Administration/Business field is preferred. Must pass all required checks. Experience: Any course of study for Executive Assistants to Chief-level positions would be ideal. Experience working in Project Management or a related field is desirable. Computer training and certifications are desirable. Prefer 3-5 years of experience as an Administrative Assistant or Executive Assistant. Compensation commensurate with experience.
