
Sales Administrative Assistant

Description
The Sales Administrative Assistant supports our sales team to ensure seamless communication, accurate documentation, and smooth event execution across the resort. This role requires strong organizational skills, attention to detail, and the ability to work collaboratively with multiple departments including Sales, Restaurants, Banquets, Guest Services, Recreation, and Accounting.

Responsibilities And Duties
Attend weekly BEO meetings
Maintain organized communication between Sales, culinary leadership, and operations
Coordinate and distribute group schedules, reader board updates, and internal event communications
Produce menus and place cards for groups, weddings, and family reunions with private events
Produce daily meeting room signage according to event schedules
Sales Office Administration
Produce weekly BEO due reports
Distribute BEOs to appropriate departments
Ensure guarantees are entered and updated daily
Post and communicate change logs as needed
Audit banquet checks and coordinate timely delivery to AccountingConfirm kitchen board reflects current BEOs, guarantees, and updates
Edit event menus as assigned
Requirements & Qualifications
Proficiency in Microsoft Office Suite; experience with any of the following: Delphi, Salesforce, Host, Canva, and Adobe products would be a plus!
Excellent organizational, problem-solving, and multi-tasking skills; highly adaptable in fast-paced environments.
Strong interpersonal and written communication skills; a natural relationship-builder and team player.
Ability to handle sensitive information with professionalism and discretion.
U.S. citizenship or valid U.S. work permit required. Background check required.
