
Executive Assistant (Commercial Leasing)

Responsibilities
Related Ross is looking to hire a highly professional Executive Assistant to support the Commercial Office Leasing Team, specifically the Executive Vice President and Senior Vice President. The Executive Assistant is responsible for administrative duties associated with projects and general office support. This is a collaborative role working with various executives, outside brokers, tenants and prospective tenants. The successful candidate will anticipate, initiate, coordinate, and follow up on logistics required for the executives to effectively perform at the highest capacity. This position will be based on-site 5 days a week in West Palm Beach, FL.
Scheduling appointments and heavy calendar management. Manage a busy and ever-changing calendar and prioritize appointments with the executives' prior clearance. Review daily.
For large meetings and events, assist with planning, greet guests, and coordinate conference rooms and meal arrangements.
Plan travel arrangements and changes including airline reservations, hotel accommodations, and car service arrangements.
Act as gatekeeper and primary point of contact between executives, managers and visitors, as required.
Bridge for smooth communication between all internal departments and external contacts.
Ensure the executives are prepared for all meetings by keeping them on schedule and providing necessary materials.
Prepare expense reports and liaise with Finance, as necessary.
Develop relationships with executive contacts, gain recognition as a team resource.
Assist with personal duties, as needed.
Performing ad hoc projects, as needed.
Qualifications
A minimum of 3 years of relevant experience as an Executive Assistant or a high-level Administrative Assistant.
Bachelor's degree preferred.
Strong proficiency with Microsoft Office Suite and Canva including document creation and management skills.
Ability to perform necessary and integral research to assist with prospecting.
Strong communication skills, both written and verbal.
Excellent professional demeanor with the ability to work with a wide range of levels and management.
Keen attention to detail and must possess strong organizational skills.
Comfortable working in a fast-paced environment, ability to multi-task, shift direction easily and prioritize.
Good judgment, discretion and strong discipline.
Experience in a role that requires a high level of discretion with confidential information.
Team player, self-starter.
Experience working in a corporate environment is highly preferred.
