Summary Associate Director of Operations and Occupancy serves as a strategic leader within Housing and Residence Life, overseeing day‑to‑day operations and occupancy management of all student housing. The role supervises key staff, optimizes the StarRez housing management system, and drives enhancements across related modules.
Responsibilities Occupancy Management
Lead the management and optimization of housing systems, including StarRez, Annunity, and Personna.
Collaborate with the Associate Director of Housing to advance StarRez modules for student engagement.
Maintain accurate occupancy records, reports, and documentation to support operations.
Provide oversight for Living Learning Communities in collaboration with LLC Coordinators.
Oversee room assignments, occupancy tracking, and related administrative processes.
Coordinate early arrival and late stay accommodations with key campus departments.
Assist with back‑end testing, development, and data cleanup for StarRez housing contracts and procedures.
Develop and communicate housing assignment policies and procedures for consistency.
Analyze occupancy trends, recommend strategies to optimize revenue while supporting enrollment goals.
Oversee operational projects to ensure system functionality.
Provide training, documentation, and support for staff and end‑users regarding StarRez.
Supervision/Managerial
Supervise the Operations Coordinator and Assignment Coordinator, guiding daily responsibilities.
Communicate, interpret, and administer residence hall and university policies and procedures.
Maintain working knowledge and collaborate with campus departments.
Conduct staff evaluations and provide performance feedback.
Participate in formal and informal evaluation processes.
Apply progressive discipline procedures as required.
Offer ongoing training and development for assigned staff.
Lead and manage Summer Housing operations, including logistics for summer camps and conferences.
Approve OneUSG assignments for student staff.
Mentor and role‑model staff.
Administrative
Lead StarRez‑related projects such as system upgrades, integration, training, and new functionality implementation.
Review vendor performance reports with Facilities Operations to align with service‑level expectations and budgets.
Coordinate the housing selection process for new, transfer, and returning students.
Perform budget and spreadsheet management, maintain records, and generate monthly occupancy reports.
Attend required meetings and submit annual and other reports as assigned.
Assist in student housing billing, daily transaction posting, auditing, and reconciliation.
Serve as a resource for room changes, early withdrawals, move‑in/move‑out logistics.
Coordinate with Facilities on vendor projects and occupancy‑related special projects.
Administer annual review and update of housing contracts and related policies.
Identify inefficiencies and implement changes to streamline operations.
Maintain awareness of staff and student concerns through office hours and interactions.
Coordinate with Facilities to facilitate turn planning, resourcing, and execution.
Oversee StarRez portal workflows, forms, reports, templates, and automated processes.
Professionalism / Professional Development
Seek knowledge and information for professional development.
Adhere to standard housing and student affairs professional standards.
Represent Housing and Residence Life at seminars and conferences.
Follow all Housing and Residence Life policies and procedures.

Perform other duties as assigned.
Required Qualifications
Bachelor's degree from an accredited college or university.
Three years of related experience, with at least two years of supervisory experience.
Preferred Qualifications
Master's degree in College Student Personnel, Project Management, or related field.
Experience with StarRez or similar housing management system.
Experience with SQL.
Three or more years of supervising professional staff.
Strong oral and written communication skills.
Strong organizational and administrative skills.
Knowledge, Skills, & Abilities
Knowledge:
Proficient in Microsoft Office and other computer software/databases; building operations and reports in databases; supervisory practices and techniques.
Skills:
Excellent interpersonal, written, and verbal communication; detail‑oriented with strong prioritization and organizational skills; effective written and oral communication including presentation experience; exceptional organizational and administrative skills.
Abilities:
Maintain confidentiality; demonstrate systems‑level thinking; foster collaborative relationships with staff and constituencies; analyze problems and make sound decisions; write complex SQL statements and queries; demonstrate initiative and organizational leadership.
Shift / Salary / Benefits
Shift: Days, Monday–Friday (may require work outside standard hours).
Pay Band: B11
Salary: $56,600–$61,000 per annum, commensurate with qualifications.
Benefits: Health, dental, life insurance; Tuition Assistance Program after 6 months; paid holidays, vacation, sick leave.
