
Marketing and Customized Training Coordinator

The Coordinator
develops, implements and manages the unit’s marketing plan for workforce programs, including contract training, open‑enrollment courses, and special classes and events. Responsibilities include, but are not limited to, developing promotional materials, maintaining and updating the department website and registration pages, developing and managing social media marketing, managing information within the student information system, performing CRM‑related functions, and developing other marketing and communication activities as needed.
The Coordinator also assists with the planning, coordination, delivery, and administration of customized training and employer‑focused workforce development initiatives. The position ensures high‑quality customer service and contributes to the delivery of high‑quality, customized training solutions that meet employer needs.
Essential Functions Marketing, Communications & Web Management
Develops, implements and manages a strategic marketing and promotion plan for the WCE unit allowing for widespread dissemination of information regarding classes, programs and services to the public and to specifically identified subgroups such as inactive credit students and chamber businesses.
Produces promotional materials such as flyers, booklets and other print content.
Develops and manages social media promotions, campaigns and presence, including but not limited to WCE Facebook and LinkedIn accounts.
Designs and deploys WCE newsletter.
Coordinates updating the unit’s website and course registration pages working collaboratively with WCE staff and the Office of Communications.
Works collaboratively with the Communications department to promote programs, classes and events through social media and the website to ensure marketing materials meet College Standards.
Effectively utilizes Slate, CampusCE, Salesforce and/or similar CRM to promote WCE programs and services.
Contract & Project Management
Collaborates with the Vice President and the Director to implement contracts with business and industry partners.
Supports the Director in all phases of customized training, including project proposals, contract approvals, employer and instructor agreements, instructional material and equipment procurement and invoicing.
Manages contracts and operations related to continuing education units (CEUs) working with the Executive Administrative Assistant to ensure implementation of roster uploads.
Maintains documentation on project progress and keeps the Director and/or Vice President informed.
Training Coordinator & Instructor Support
Coordinates customized training schedules with instructors and employers to ensure seamless delivery.
Assists in recruiting and onboarding qualified, credentialed customized training instructors.
Serves as the unit’s D2L Learning Management System expert supporting instructors in delivering high‑quality online continuing education programs and courses.
Administrative & Operation Support
Serves as backup to the Administrative Assistant for facility‑rental duties during peak periods or absences.
Serves as backup to the Open Enrollment Coordinator programming as needed.
Provides second‑level customer service support as needed.
Supports development, oversight of programs and services that result in enrollment, progression, retention and graduation growth for the service area.
Performs special projects and other duties as assigned.
Required (Education, Training, and Experience)
Bachelor’s degree in workforce development, business‑related field, marketing, communications, education or other field with business management experience.
Experience in project coordination, employer relations, training, or related work.
Strong written and verbal communication skills.
Ability to manage multiple projects, meet deadlines, and work collaboratively with internal and external partners.
Proficiency with Microsoft Office Suite, Adobe Creative Cloud, Canva, Facebook, LinkedIn, Hootsuite or other graphic design and social media management solutions. Comfort learning other new software systems as needed.
Preferred
Experience in workforce development, contract training, higher education, or industry training.
Familiarity with CRM systems, scheduling tools, or project‑management software.
Experience working with learning management systems (LMS), especially D2L.
Knowledge of local and regional labor market needs.
Knowledge, Skills, and Abilities
Project Management: Ability to coordinate multiple training projects and manage deadlines.
Relationship Building: Ability to establish and maintain strong business, industry, and internal partnerships.
Communication: Clear, professional written and verbal communication skills.
Technical Proficiency: Ability to design promotional material, support instructors in D2L and contribute to website and social‑media updates.
Attention to Detail: Strong documentation, reporting, and organizational skills.
Customer Service: Demonstrates professionalism and responsiveness in employer interactions.
Working Conditions
Varied work hours, including days and evening and weekend hours as needed.
Travel to Columbia State campuses and other service area locations as needed and or directed.
Normal sitting and movement in an office environment.
Visual and hand usage of computer terminal and/or PC.
