Position Summary Information Reporting to the Director of Athletics, the Compliance Manager provides primary leadership and oversight for the NCAA compliance and student‑athlete eligibility for Chapman's 21 varsity sports and 600‑plus student‑athletes during a limited‑term appointment of up to approximately 16 months. The position oversees day‑to‑day compliance and administrative functions, including the application and enforcement of NCAA and SCIAC bylaws, tracking student‑athlete academic eligibility, policy implementation and contracts administration, compliance education, and game‑day management oversight.
The Compliance Manager serves as a liaison with student‑facing campus partners in Academic Affairs, Dean of Students Office and Enrollment Services for the purposes of compliance. This position also provides supplemental support to the Director and Operations Manager in areas of front office operations, financial services, special events, and team travel.
Responsibilities NCAA Compliance & Eligibility
Administer and manage all responsibilities related to NCAA Division III rules and regulations, including compliance with regard to student‑athlete eligibility, recruiting, playing and practice seasons.
Provide oversight of staff to ensure understanding of NCAA Division III, SCIAC and university regulations, policies and procedures and provide timely and effective training as appropriate.
Certify annually eligibility of all rostered student‑athletes with Chapman's 21 varsity programs, and oversee ongoing monitoring of athletes' enrollment and academic progress.
Direct collaboration with various campus partners on matters of institutional compliance.
Serve as a liaison to the SCIAC office on compliance with conference bylaws and administration of championships.
Attend regular conference meetings and the annual NCAA Convention.
With guidance from the Director, prepare, manage, and submit all required annual reports to the NCAA on sport sponsorship and demographics, financial aid, graduation rates, and the EADA financial report.
Assist Director in addressing conflicts and concerns from head coaches, faculty, administrators, parents, and students.
Provide regular game‑day administrative oversight for home Athletics events and at the request of the Director, accompany teams on postseason travel.
Student‑Athlete Support
Direct collaboration with campus partners to provide support and education to Chapman's 600‑plus student‑athletes, including Academic Advising, Office of the Registrar, Career Services, Residence Life, Student Conduct, and Student Engagement.
Develop and deliver regular communications and education to the student‑athlete body on topics within the realm of college athletics that support compliance and student‑athlete success and well‑being.
Serve as staff advisor to the Student‑Athlete Advisory Committee and lead administrator for Chi Alpha Sigma honor society, while also supporting special initiatives and events for students, including IMPACT committee, Welcome Back BBQ, Student‑Athlete Awards, D3 Week, and leadership workshops.
Director & Operations Support
Provide operational leadership and partner with the Director and Operations Manager to assist in administering various areas including front office management, budgets and travel coordination, contracts administration, and institutional compliance.
Support fundraising and departmental events, including the Night of Champions, Giving Day, and golf tournaments.
Support periodic Admissions events such as monthly info sessions and Open House/Preview Day.
Supervision
Supervise, train, and evaluate Athletic Department Administrative Student Staff.
Assign and monitor work, provide performance feedback, and ensure adherence to departmental policies and service standards.
Required Qualifications
Bachelor's Degree
Minimum of 3-5 years of related experience with administrative functions within intercollegiate athletics, with an emphasis on compliance
Working knowledge on NCAA Division III and SCIAC bylaws, as well as applicable institutional policies and procedures, or similar experience with other conferences and universities
Proven ability to interpret, apply, and enforce relevant rules and regulations
Familiarity with and insight into issues confronting NCAA Division III intercollegiate athletics, particularly within highly selective collegiate institutions
Strong commitment to the academic success of student‑athletes and the ability to persuasively articulate the role of athletics in education
Familiarity with budgetary processes, financial policies, including training others in compliance‑related matters.
Proven leadership, judgment, and decision‑making skills, with the ability to work independently and exercise initiative.
Ability to use tact and diplomacy and maintain a high level of confidentiality. Excellent organizational and time‑management skills, with the ability to prioritize multiple responsibilities in a fast‑paced environment.
Strong interpersonal, oral, and written communication skills, with the ability to work effectively as part of a team with various groups of individuals at all organizational levels, both inside and outside of the University.
Public speaking skills to present material to a wide variety of constituents.
Proven ability to explain and teach athletic compliance to both skilled and non-skilled students.
Proven ability to develop and promote the overall athletic program to all members of the community.
Proficiency in Microsoft Word and Excel.
Desired Qualifications
Master's Degree or another advanced degree, such as a J.D.
Experience supervising or managing staff
Intercollegiate coaching experience.
Knowledge of institutional systems and platforms, including PeopleSoft, SAP Concur, ArbiterSports, and Office Solutions.
Certification in First Aid/CPR, CSA, FERPA, Fair Admissions.
