As a Proposal Coordinator, proposals are your core responsibility. You’ll work alongside practice leaders, technical staff, and an award-winning communications team to shape the firm’s experience into clear, compelling submissions that help us win meaningful work.
This role supports passionate, detail-driven creative professionals who are deeply committed to delivering value to their clients. Your job is to help organize their experience and expertise into polished, accurate, and on-time proposals. You won’t always have every piece of information at the start, and deadlines don’t move, but you won’t be navigating it alone. What You’ll Do
Coordinate the production of proposals from kickoff through submission
Develop timelines and workplans to keep pursuits on track
Gather and organize project information, resumes, and supporting materials
Draft and edit proposal content including cover letters, project descriptions, and resumes
Review submissions for clarity, accuracy, and compliance with RFQ/RFP requirements

Partner with technical staff to collect and clarify information
Maintain proposal templates, tools, and information databases to ensure accuracy and efficiency
Contribute ideas to improve workflows and systems over time

Technical Qualifications
Bachelor's degree in communications, marketing, graphic design, or a related field
Minimum of 1 year of professional experience in marketing, proposals, communications, or a related environment
AEC industry experience is desired but not required
Excellent writing, editing, and proofreading capabilities
Working knowledge of Microsoft Office (Word, PowerPoint, Excel) and Adobe InDesign
Strong graphic sensibility and understanding of layout and formatting
