Job Type Full‑time
Location Rochester, NY – 100% in‑office role. Remote or hybrid work is not available. Candidates must work on‑site five days per week during designated work hours.
Position Overview This role supports the onboarding of new retirement plans for Paylocity clients. The Implementation Specialist is responsible for managing the end‑to‑end setup process, including data collection, plan configuration, and coordination with internal and external stakeholders. The role ensures timely and accurate implementation aligned with client expectations and regulatory requirements.
Primary Responsibilities
Serve as the primary point of contact for new client onboarding related to retirement plans, ensuring exceptional customer experience throughout the implementation process.
Collect and validate plan data, including payroll schedules, employee census, and plan design details.
Facilitate client onboarding meetings, status calls, and check‑ins, ensuring clear communication and expectations at every step.
Configure plan settings in record‑keeping systems and ensure accurate mapping to payroll integrations.
Coordinate with internal teams (Sales, Client Services, Compliance) and external partners (401(k) administrators).
Monitor implementation timelines and proactively address delays or data issues.
Provide training and documentation to clients on plan setup and ongoing administration.
Ensure compliance with ERISA and IRS requirements during onboarding.
Perform all other duties as assigned.
Education and Experience
Bachelor’s degree required.
Minimum of 1 year of experience in retirement plan onboarding or HCM implementation.
Familiarity with payroll systems and retirement plan recording‑keeping platforms. Experience with OKA designation preferred.
Experience in a client‑facing role.
Proficiency in Microsoft Office, with an emphasis on Excel.
Strong interpersonal verbal and written communication skills with a strong customer‑focused mindset throughout the implementation process.
Strong project management skills and ability to manage multiple projects concurrently, effectively prioritizing tasks, managing timelines and ensuring deliverables are met on time.
Strong attention to detail with strong analytical and problem‑solving skills.
Physical Requirements
Ability to sit for extended periods: The role requires sitting at a desk or workstation for long periods, typically 7‑8 hours a day.
Use of computer and phone systems: The employee must be able to operate a computer, use phone systems, and type, including using multiple software programs and inquiries simultaneously.
Benefits and Compensation The pay range for this position is $43,500 – $62,100/yr; however, base pay offered may vary depending on job‑related knowledge, skills, and experience.
