Summary
The
Document Specialist
works closely with the Finance & Insurance (F&I) team to organize, verify, and prepare deal paperwork for submission to the billing department and banks. This role ensures accuracy and compliance in all documents, supporting a smooth and timely funding process.
Duties and Responsibilities
Review and compile all required documents from the F&I team for each vehicle sale.
Ensure deal jackets contain all necessary paperwork for funding, including contracts, titles, payoff info, and supporting documents.
Double‑check for missing signatures, incorrect figures, or compliance red flags before submission.
Maintain a checklist to verify documentation is complete and meets dealership and lender requirements.
Communicate with F&I managers regarding any discrepancies or missing items.
Submit completed deal files to the billing clerk for processing and bank funding.
Scan and upload deal documents into the DMS and digital filing systems.
Organize physical and electronic records to ensure easy retrieval and audit readiness.
Assist with month‑end closeout by ensuring all deal files are complete and processed.
Support the office and F&I department with general administrative tasks related to deal compliance and documentation.
Qualifications
1+ year of administrative related experience in an automotive dealership.
Strong attention to detail and organizational skills.
Familiarity with deal paperwork, titling, or F&I processes.
Ability to prioritize and work efficiently under deadlines.
Comfortable working with computers, scanners, and dealership software (e.g., CDK, Reynolds & Reynolds, Dealertrack).
Some Saturdays will be required for month‑end close out.

All applicants must be able to demonstrate ability to pass pre‑employment testing to include background checks, MVR, drug test, credit report, and valid driver license.
Preferred Qualifications
Previous experience working directly with F&I, billing, or title clerks in an automotive setting.
Understanding of lender documentation requirements and funding guidelines.
Experience auditing or reviewing automotive deal jackets for compliance.
Compensation (Hourly)
$18.00 - 20.00 / hour
(Depending on experience and qualifications)
Schedule
FULL TIME
Sundays off
Saturday availability required
Must be willing to stay late on occasion to finalize paperwork when deals are completed near or after normal closing hours.
