
Marketing Coordinator

This position is 100% onsite at our Orange, CA office.
The Marketing Coordinator plays a key role in supporting the planning, coordination, and execution of the firm’s marketing and business development initiatives. Reporting to the Director of Marketing and working under the leadership of the Chief Marketing Officer, this position contributes directly to the firm’s business operations by managing marketing systems, coordinating and developing compelling content, and ensuring consistent application of brand and communication standards across all internal and external platforms.
Key Responsibilities Marketing Strategy & Content Development Collaborate with firm leadership and technical staff to develop targeted marketing strategies that support business development goals and strengthen the AO brand.
Lead the development of marketing collateral, including brochures, project sheets, award submissions, and presentations.
Manage content creation across multiple platforms, including website, email campaigns, social media, and press materials, ensuring consistency with corporate messaging and brand standards.
Proposal, RFP, and SOQ Coordination Prepare compelling, tailored responses for assigned proposals, RFPs, and SOQs by managing timelines, drafting and editing content, and coordinating layout and design.
Apply strategic thinking to customize proposals based on client needs and project-specific requirements.
Coordinate with cross-functional teams to gather input and produce high-quality, client-focused submissions.
Internal & External Communications Maintain and implement AO’s brand identity across all marketing and communication channels.
Ensure quality control and consistency in tone, design, and messaging across all materials.
Develop strategic content aligned with brand standards for external communications, including press releases, social media content, and website updates.
Marketing Systems & Infrastructure Develop and maintain a centralized digital marketing directory and asset library.
Manage internal platforms including the AO Intranet, project milestones calendar, and CRM systems.
Identify and implement process improvements to enhance the efficiency and effectiveness of marketing operations.
Public Relations & Events Support Coordinate corporate and client-facing events in alignment with firm marketing goals.
Collaborate cross-functionally to ensure marketing standards are executed consistently across departments.
Work with PR partners and media contacts to support outreach initiatives and increase visibility and engagement.
Qualifications Bachelor’s degree in marketing, communications, business administration, graphic design, or a related field.
Minimum of three (3) years of professional marketing experience, preferably within the AEC (Architecture, Engineering, Construction) industry.
Advanced proficiency in Adobe Creative Cloud (InDesign, Illustrator, Photoshop) and Microsoft Office Suite.
Experience with CRM systems, digital asset management systems (DAMS), and social media management tools.
Strong portfolio demonstrating high-level writing, graphic design, and marketing strategy capabilities.
