Reception, Marketing, & Admin Coordinator
Cushman & Wakefield | PICOR, Tucson’s leader in commercial real estate, is seeking a Reception, Marketing, & Admin Coordinator to join our team. This position plays a key role in providing professional administrative and marketing support while ensuring exceptional service to clients and visitors. The successful candidate will demonstrate professionalism, attention to detail, reliability, and the ability to manage multiple priorities efficiently in a fast-paced environment while taking direction from multiple sources.

Key Responsibilities

Greet and assist clients, guests, and visitors

Manage and route incoming calls in a professional manner

Open and close the office daily

Coordinate lunch orders and meeting logistics

Design and produce branded property brochures that align with company standards

Design, maintain, and schedule property marketing email campaigns

Update and edit visual assets, including floor plans, photos, and other materials

Maintain and update marketing platforms and property listings

Assist with deal tracking and documentation

Process internal administrative forms (ELA/AOS)

Qualifications

Prior experience in graphic design, marketing, or a related field. Design experience is key to the success of this role

Proficiency with technology, including Microsoft Office (Excel, PowerPoint) and Adobe Creative Suite (InDesign, Photoshop); familiarity with Mailchimp or similar email marketing platforms

Excellent independent problem-solving abilities and adaptability

Excellent verbal and written communication

Strong organizational skills and ability to manage multiple projects and workflows efficiently

Previous administrative or marketing support experience preferred, ideally in a professional services, real estate, or agency environment

A Typical Day in this Role

Open the office, check and direct voicemails that came in overnight as needed

Assist visitors and direct incoming calls as they come in throughout the day

Sort through emails from the team to determine order of priority

Assist marketing department by designing and producing branded property brochures and accompanying materials

Assist marketing department by upkeeping and creating email marketing campaigns

Assist marketing department by editing visuals, floor plans, and other marketing collateral

Intake and perform listing platform and MLS updates as needed, collaborate with external vendors to ensure smooth uploads, process incoming administrative forms

Wrap up projects for the day and close the office

Additional Information
Interviews will last approximately 30–90 minutes and include a Q&A session and skill-based assessments.
