Executive & Personal Assistant

to help bring structure, clarity, and calm to an increasingly full and multifaceted life. This is a true right‑hand role for someone who thrives on creating order out of chaos, anticipates needs before they arise, and genuinely enjoys making a complicated life run seamlessly behind the scenes.

The household itself is warm, low‑key, and informal. The ideal candidate is deeply organized, detail‑oriented, and operationally rigorous. You will be the person who keeps everything on track so the principal can focus on leadership, philanthropy, family, and creative pursuits without living in constant logistical overwhelm.

This role spans executive support, family coordination, art collection administration, renovation oversight, philanthropy, and household operations. The right person will be equally comfortable managing a complex calendar, coordinating a residential move, liaising with galleries and contractors, tracking Family Office follow‑through, and making sure camp forms and medical appointments do not slip through the cracks.

You will work closely with a small household team, including a Household Manager/Nanny, a part‑time private chef, and a shared Family Office.

Requirements

8+ years of experience supporting a private individual, HNW family, or senior executive in a hybrid personal/professional capacity

Experience managing complex calendars, travel, vendors, and long‑horizon personal projects

Proficiency with Google Workspace, Microsoft Office, and modern organizational tools

Prior exposure to art collection management, renovation projects, philanthropy, or family office environments is strongly preferred

Exceptional organizational instincts with the ability to build systems and create structure proactively

Strong administrative and project management skills with meticulous attention to detail

Ability to independently problem‑solve and anticipate needs without constant direction

Comfortable operating across both executive and deeply personal domains

High emotional intelligence, warmth, and discretion

Responsibilities

Manage complex calendars across family, professional, philanthropic, and social commitments

Oversee personal and family logistics including appointments, children’s scheduling, errands, household records, and special projects

Handle inbox management, follow‑ups, meeting preparation, and administrative coordination

Coordinate domestic and international travel with detailed itineraries and logistics

Serve as liaison to the Family Office by routing invoices, tracking approvals, organizing documentation, and ensuring smooth follow‑through

Coordinate household vendors, contractors, and service providers across multiple properties

Support ongoing residential renovation and future relocation logistics

Assist with art collection administration including documentation, shipping, storage coordination, and gallery communication

Track philanthropic commitments, nonprofit engagement, events, and correspondence

Maintain systems, documentation, and operational clarity across all moving parts of the principal’s life

M‑F 40hrs/week with flexibility for occasional evenings/weekends

$125K-150K/year + medical and dental benefits + discretionary bonus
