Role
The proposal and marketing coordinator oversees the lifecycle of proposals from RFP release through submittal and interviews, including identifying posted bid opportunities and leading the proposal development process for submittals on both project-based and on-call contracts. These include proposals for which the organization is the prime contractor, as well as compiling materials and submitting them to other firms when the organization is a subcontractor. The position is also responsible for overseeing marketing collateral updates, including the company website, social media, and maintaining the company brand through templates and graphics. A successful candidate works independently on most assignments while collaborating closely with marketing leadership, business development, and technical staff. This role requires initiative, proactive communication, and the ability to manage concurrent deadlines confidently.

Basic Requirements

Education: Bachelor’s degree in marketing, communications, business, English (or related field), or equivalent experience.

Exceptional writing and editing skills.

Proactive communication skills.

Exceptional organization, time management, and attention to detail.

Ability to review complex RFPs and develop compliance structures.

Prior experience coordinating proposals for government and/or private-sector clients.

Ability to manage multiple proposals concurrently as the prime contractor with multiple subcontractors.

Ability to effectively use advanced tools and features of Word, PowerPoint, and Excel.

Ability to use features of graphic design programs.

Experience working in SharePoint and OneDrive environments.

Ability to become familiar with Foursquare ITP’s service offerings and relate them to the scope of work in an RFP to determine relevance.

Ability to coordinate teams to accomplish tasks in an established and allotted timeframe.

Ability to effectively conduct quality assurance/quality control (QA/QC) on deliverables by assuming responsibility for QA/QC on entire proposals.

Ability to strengthen business relationships and demonstrate resilience and flexibility.

Preferred Skills and Experience

Ability to use advanced features of graphic design programs such as Illustrator, Photoshop, InDesign, and Acrobat to create graphics for proposals.

Experience developing proposals in the AEC industry.

Experience with Federal SF 330, state, and municipal submissions.

Responsibilities

Manage proposals, capabilities packages, and shortlist interview materials from kickoff to delivery.

Perform proposal and marketing duties with a moderate level of direction, including:

Review RFPs and develop compliance matrices, schedules, and QC plans.

Work alongside technical staff and business development teams to develop content, themes, and messaging that align with client goals.

Write, edit, and tailor resumes, project descriptions, and firm narratives.

Coordinate with teaming partners and subconsultants to strengthen business relationships.

Lead and support various meetings, reviews, and debriefs throughout the proposal process.

Monitor opportunity websites and share RFPs with pursuit leaders.

Assist with print production, assembly, and delivery when required.

Ensure win themes and messaging are consistent throughout responses and presentations.

Attend client/proposal/staff meetings; have direct interaction with primes or clients on data requests and technical items at the PM/technical lead and/or supervisor’s discretion.

Maintain and add content to the website.

Remain current with the latest industry concepts, applying as appropriate.

Compensation
An individual who meets the minimum requirements can earn an annual salary of $74,000. Salary can be adjusted based on education, years of experience, and relevance of experience.

Location
Candidates must be within commuting distance of one of our offices in DC, Atlanta, Boston, or Philadelphia. We prefer candidates to be within commuting distance of our office in downtown DC.
