We are seeking a highly organized, detail-oriented, and motivated Administrative Assistant / Sales Coordinator to join our team and support our sales and administrative operations.
Position Summary
The Administrative Assistant / Sales Coordinator plays a critical dual role within Meta Power Solutions, providing essential administrative support while actively coordinating sales activities to drive business growth. This individual serves as a key point of contact between the sales team, clients, vendors, and internal departments. The ideal candidate is a proactive problem-solver with excellent communication skills, strong organizational abilities, and a passion for delivering outstanding service.
Key Responsibilities
Administrative Support
Manage and maintain executive and sales team calendars, scheduling meetings, appointments, and travel arrangements
Prepare, proofread, and distribute internal and external correspondence, reports, and presentations
Coordinate and prepare materials for meetings, conferences, and company events
Assist with onboarding of new team members as needed
Maintain and update the Customer Relationship Management (CRM) system with accurate and current customer data, sales activities, and pipeline information
Monitor and report on sales metrics, KPIs, and pipeline activity to management
Prepare regular sales reports, forecasts, and performance summaries for leadership review
Project & Operations Support
Support operational efficiency by identifying and recommending process improvements
Qualifications & Requirements
Education
Associate's or Bachelor's degree in Business Administration, Marketing, Communications, or a related field preferred
Equivalent combination of education and experience will be considered
Experience
Minimum 2–4 years of experience in an administrative, sales support, or coordination role
Experience in the energy, power, electrical, or technical industry is a plus
Prior experience with CRM platforms (Salesforce) preferred
Exceptional organizational and multitasking abilities with strong attention to detail
Excellent written and verbal communication skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Ability to manage competing priorities and meet deadlines in a fast-paced environment
Strong interpersonal skills with a professional and customer-focused demeanor
Ability to work independently as well as collaboratively within a team
Strong analytical and problem-solving skills
Discretion and professionalism in handling confidential information
Basic understanding of sales processes and customer relationship management
Familiarity with project management tools (Asana) is a plus
Physical Requirements
Primarily a sedentary, office-based role
Ability to sit for extended periods and work at a computer workstation
Occasional lifting of office materials up to 25 lbs
May require occasional travel for meetings, trade shows, or client visits
