THE OPPORTUNITY: Creative Operations Manager
REPORTS TO: Creative Director

Birdy Grey is looking for a highly organized Creative Operations Manager to be the operational backbone of our Creative team. This hybrid role blends office management, creative production, and project management. The right person is equally comfortable producing a photo shoot, building a project tracker, restocking the studio, and shipping an influencer package out the door. You'll bring calm, structure, and momentum to a fast-paced, creative environment, and partner closely with the Creative Director to keep the studio running and the work moving forward
SCOPE OF RESPONSIBILITIES:
Own cross‑functional communication across Creative, PD, TD, Marketing, and Post Production teams to ensure alignment on shoot dates, sample readiness, launch timelines, image handoffs, and production milestones
Oversee day‑to‑day LA office operations including mail/packages, supplies, snacks, onboarding setup, parking passes, donations, and vendor coordination
Manage all production‑related sample coordination including requesting, tracking, organizing, prepping, steaming, and helping ensure color benchmarks and bulk‑approved fabrics are delivered accurately and on time
Support all photo and video productions (PDP, lifestyle, social, marketing, AI) from pre‑production through execution
Be hands‑on during shoot days by assisting with styling, changing models, organizing looks, prepping racks, and maintaining efficient on‑set operations
Manage shoot asset workflows including shot lists, image uploads, Asana tracking, and image reviews to ensure all final imagery accurately represents the garment, color, fit, and overall product details
Capture on‑model and mannequin imagery for AI workflows using photography guidelines and iPhone capture standards
Coordinate shoot logistics including models, vendors, props, locations, catering, staffing, schedules, and overall day‑of production needs
Manage shoot budgets, office and production expenses, contracts, invoices, W9s, and production‑related documentation while helping ensure productions stay organized and on budget
Coordinate model castings and help maintain organized talent/vendor relationships and records
Collaborate closely with the Creative Director to execute creative shoots and support overall production planning
Communicate editing notes, sample issues, and post‑production feedback immediately following shoots
Manage influencer, PR, UGC, donation, and general office‑related shipments and package coordination as needed
Own real wedding image outreach, organization, follow‑through, rights management, and usage workflows
Help improve and maintain organized, scalable creative production and operational processes while ensuring the office and studio environment remain organized and running smoothly
QUALIFICATIONS:
4‑6+ years of experience in creative production, project management, studio management, office operations, or related fields
Highly organized with strong attention to detail and follow‑through
Ability to manage multiple projects and shifting priorities in a fast‑paced environment
Strong communication and cross‑functional collaboration skills
Comfortable balancing both creative production and operational responsibilities
Familiarity with or interest in AI‑assisted creative and production workflows preferred
Experience in fashion, e‑commerce, lifestyle, or startup environments preferred
Familiarity with Asana, Google Suite, Slack, Dropbox, and production workflows preferred
Positive, proactive, solutions‑oriented mindset with willingness to jump into all areas of support as needed
