Marketing Coordinator – Knoxville, TN

Responsibilities
Execute registration for conferences/events.
Assist with conference sponsorship execution.
Manage library of conference material, equipment, and supplies.
Execute conference and client events preparation, maintain comprehensive calendar and checklist, coordinate related logistics such as hotel reservations, packing materials, and shipping.
Manage client and contact information within the CRM and support performance reporting and market analysis; maintain conference and corporate events data in CRM.
Coordinate industry and corporate events.
Complete conference wrap‑up: receive, unpack, update inventory for returned materials/equipment, and reconcile expenses in a timely manner.
Travel as needed to support the Director of Marketing with projects/events/conferences.
Contribute market‑analysis feedback (ROI) from conference data.
Identify and manage promotional items inventory.
Research industry best practices.
Perform administrative responsibilities.
Assist the Digital Asset Specialist in designing, monitoring, and updating Mesa’s digital assets; maintain branding standards and quality; serve as backup to the Digital Asset Specialist.
Position eligible for hybrid schedule.
Education and Experience
Bachelor’s degree in Marketing, Communications, Event Management, or a related field or equivalent combination of education and directly relevant professional experience.
Minimum of 5+ years of progressive, hands‑on experience coordinating and executing industry conferences, trade shows, and corporate events from planning through on‑site execution and post‑event reconciliation.
Prior experience within an AEC, professional services, or similarly complex, client‑facing environment is strongly preferred.
Skills
Proficient in MS Office Suite (Word, Excel, PowerPoint).
Experience with Adobe Creative Suite (InDesign, Illustrator and Photoshop a plus).
Strong writing, proofreading, oral presentation, and organizational skills.
High attention to detail.
Collaborative mindset with ability to work with marketing and technical professionals.
Experience in CRM systems and email marketing platforms.
Critical thinking, problem‑solving, and research proficiencies.
Proven ability to handle complex event logistics and deliver high‑impact results.
Strong analytical skills for interpreting competitor strategies and consumer behavior.
Strong organization skills and ability to work effectively under pressure.
Ability to gather large amounts of data and convert into meaningful insights.
Excellent interpersonal skills for representing organizations in public during media events and conference participation.
Ability to interface with corporate senior leadership.
