Job Summary
The Program Coordinator is responsible for the overall planning, execution, and monitoring of programs within the Continuing and Professional Education department, ensuring all aspects run smoothly by managing budgets, coordinating activities, supervising staff, and communicating with stakeholders to achieve program goals and objectives. Programs include, but are not limited to, online, on‑campus, and site‑based certificates and micro‑credentials; professional development courses; personal enrichment courses; cultural courses and/or performances; performing and visual arts courses; health, fitness, and recreational courses; summer camps (residential and commuter); after‑school programs; children's programs; seniors programs; conferences, concerts, and other non‑credit or for‑credit certificate and short form educational programs. This position involves working closely with faculty, community partners, and campus departments to ensure the smooth operation and success of the programs.
Responsibilities
Coordinating (40%)
Support planning and execution of programs
Ensure implementation of policies and practices
Create and monitor project budget and track expenditures/transactions
Handle the project related financial administration
Manage communications through media relations, social media etc.
Help build positive relations with all program related stakeholders
Keep all program related stakeholders up‑to‑date with relevant project information
Schedule and organize meetings/events for each program
Prepare contracts and order supplies
Keep updated records, create reports, and close out programs
Support growth and program development
Data Management (20%)
Assists in the preparation of all reports, contracts, and agreements relevant to area of responsibility. Completes or supervises the completion of all paperwork for each course or program including consultant agreements, budgets, facility requests, A/V requests, purchasing card summaries, etc.
Maintains master program files on all programs coordinated, including grades, attendance and CEU tracking.
Ensures that all non‑credit educational programs and participants are properly reported to the Board of Regents through the appropriate CEU reports.
Financial Management (15%)
Provides recommended budget plans (both short‑term and long‑term) for all CPE programs serving area of responsibility.
Determines supply needs and maintains fiscal accountability for daily revenues.
Generates, through assigned programs, sufficient revenue to pay all direct expenses of the programs and to cover a portion of the general departmental overhead.
Recommends approval and/or cancellation of workshops and continuing and professional education programs based on generated revenues, enrollment, or other circumstances.
Supervision (15%)
Recruits, hires, trains, supervises, schedules, and evaluates program staff, instructors, student workers, and facilitators.
Marketing (5%)
Develops a marketing strategy and implementation plan to include social media, catalog, and email distribution, to market their progressive schedule programs.
Works to bring awareness of Continuing and Professional Education opportunities to stakeholders across campus, the local community, and throughout the state.
Works closely with community organizations, other departments on campus, and GCSU faculty and staff to identify and develop appropriate CPE programs.
Other (5%)
Works closely with Director of Continuing and Professional Education in completing additional tasks and assignments as necessary for the success of the department. Fosters a positive and collaborative work environment.
Required Qualifications
Educational Requirements
Bachelor's degree in Business, Education, Public Administration, Marketing, Communication, or related field, plus a minimum of one year experience in teaching, working in adult education, or curriculum development/program coordination, corporate training, event coordination, OR an equivalent combination of education and experience.
Proposed Salary
This position is a pay grade 8. The minimum starting salary is $47,476.00. Starting salary within this range is based on relevant years of experience.

Working knowledge of Microsoft Office applications and general understanding of PC operations.

Knowledge
