We are seeking a highly organized, strategic, and adaptable Sales Coordinator & Assistant to the SVP of Sales. In this dual role, you will serve as a critical force multiplier. As Assistant to the SVP of Sales, you will streamline executive workflows, manage high-priority projects, and facilitate communication across global departments. As Sales Coordinator, you will own the operational logistics of the sales pipeline, ensuring accurate reporting, CRM management, and seamless client interactions.
The ideal candidate is a proactive problem-solver who thrives in a fast-paced environment and can confidently bridge the gap between front-line sales efforts and international supply chain realities.
Key Responsibilities
Strategic Gatekeeping:
Manage the executive’s calendar, and daily priorities, ensuring their time is protected and allocated to high-impact activities.
Cross-Functional Liaison:
Act as the point of contact between the executive office, major retail partners, and international manufacturing facilities (e.g., coordinating with production teams in Asia).
Project Management:
Spearhead special projects, track departmental OKRs, and ensure leadership initiatives are executed on time.
Client Communication:
Draft proposals, handle routine client inquiries, and support the onboarding of new major retail accounts.
Sales Enablement:
Prepare pitch decks, pricing sheets, and product line sheets. Ensure the sales team has the necessary materials and current inventory data to close deals.
Order Fulfillment Coordination:
Monitor the lifecycle of major sales orders, liaising between the sales team and production/factory managers to ensure timely delivery and resolve any production delays.
Qualifications & Requirements
Experience:
3-5+ years of experience in sales operations, executive support, or a Chief of Staff role, ideally within Jewelry/Accessories market
Technical Proficiency:
Advanced skills, Microsoft Excel (pivot tables, complex formulas), and presentation design.
Global Business Acumen:
Experience working across different time zones and communicating with international suppliers or factories is highly preferred.
Exceptional Communication:
Flawless written and verbal communication skills, with the ability to draft professional executive correspondence and client-facing materials.
Organizational Mastery:
A proven ability to juggle competing priorities, maintain meticulous attention to detail, and build scalable organizational systems from scratch.
High EQ & Discretion:
Ability to handle sensitive financial and strategic information with the utmost confidentiality.
