Job Summary
The Supervisor Administrative Operations provides leadership support and supervisor oversight to the department or program leadership team for administrative and program office operations.
This position provides direct supervision of day-to-day administrative support staff and activities to ensure efficient, effective, and timely workflows and processes; and coordination for the department/program and ensure Moffitt's Faculty and APP administrative needs are adequately met.
This position is the staff's primary support contact for daily operations, hiring, onboarding and job trial and annual performance evaluation of the administrative team.
The Supervisor Administrative Operations provides administrative support and assistance to the Department Administrator/Division Administrator with efficiency and re-engineering studies.
Other relevant duties as assigned by appropriate members of management.
Oversees department/program purchases and supply inventory and maintains department/program/division SOPs related to performance standards.
Minimum Education
Bachelor's Degree in Healthcare or related; business, finance, social work, Psychology or any other related field of study required*.
*In lieu of Bachelor's degree, an associate degree with an additional 2 years of relevant experience for a total of 7 years of relevant experience OR a high school diploma with an additional 4 years of relevant experience for a total of 9 years of experience may be considered.
Minimum Experience
Minimum five (5) years' experience providing administrative support in an office, academic, research or healthcare setting, with one (1) year proven supervisory / leadership or project management, training development or process/ program improvement experience.
*In lieu of bachelor's degree, an associate's degree plus an additional two (2) years of experience as summarized above for a total of seven (7) years' experience may be considered or high school diploma plus an additional four (4) years of experience as described above for a total of nine (9) years, may be considered
Minimum Skills/Specialized Training
Demonstrated proficiency with office processes and workflows with advanced knowledge of MS Office applications, i.e. Word, Excel, Outlook, Power Point.
Excellent verbal and written communication skills.
Strong problem-solving skills.
Familiarity with medical terminology and office organizational procedures.
Ability to communicate and partner with a wide variety of people and personalities both internally and externally.
Strong time management skills with the ability to work well with tight deadlines and demands of a fast-paced environment.
Able to work independently with little to no instruction.
Ability handling confidential information.
Strong critical thinking skills with the ability to act proactively.
Able to act as a mentor and subject matter expert concerning all administrative support tasks.
Highly organized with strong attention to detail and a high proficiency with organizing calendars, creating spreadsheets to assist with tracking.
Ability to develop processes to refine efficiency and clarity
