Overview
The Communications Coordinator I supports high-profile publicity efforts for upcoming campaigns across HBO and HBO Max Originals. Operating in a fast-paced environment, this role bridges day-to-day departmental coordination and large-scale press events by managing show assets, drafting media materials, arranging talent logistics, and tracking project budgets. This position sits within a supportive, close-knit, and energetic New York-based team that works collaboratively on bi-coastal project assignments alongside the Los Angeles Media Relations team.
Job Specifications
Key Responsibilities
Asset Management: Coordinate and track show asset needs including production photos, episodic clips, loglines, talent bios, and executive headshots.
Publicity Materials: Draft comprehensive press materials, media alerts, and official press releases under tight deadlines.
Talent Logistics: Coordinate end-to-end travel arrangements, detailed itineraries, and professional glam services for high-profile talent.
Event Production: Assist with the strategic planning, staffing, logistics, talent relations, and media management for major press events, including Upfronts, Comic-Con, TCA sessions, press junkets, photo shoots, press trips, film festivals, awards shows, and red carpet premiere carpets.
Financial Tracking: Process departmental invoices and cross-reference active show budgets to ensure financial compliance.
Administration & Media Relations: Maintain and update centralized team calendars, editorial calendars, and media contact databases; oversee structured press mailings and compile comprehensive show campaign coverage reports.
Team Participation: Actively participate in strategic department brainstorms and routine PR team meetings.
Must Have Skills / Requirements
Project Coordination: 1+ years of experience managing multiple tasks within a fast-paced, deadline-driven media environment. Strong organizational skills and sharp attention to detail are required.
Industry Background: 1+ years of experience working directly in entertainment publicity, demonstrating a solid foundational understanding of entertainment press networks, industry trends, and social media landscapes.
High-Profile Communication: 1+ years of experience showcasing excellent interpersonal, written, and verbal communication skills, with a proven ability to interact professionally with high-profile individuals (actors, producers, managers, and press).
Discretion: Good judgment and the ability to handle confidential, unreleased program information with the highest level of discretion.
Technology Requirements
Mastery of Microsoft Office suite applications (Outlook, Word, Excel, and PowerPoint).
Preferred Qualifications (Nice to Have)
Deep day-to-day familiarity with major social media platforms and digital trends.
A cumulative GPA above 3.0 from an accredited university.
Prior experience as a corporate intern within a media, studio, or agency setting is highly welcomed.
Education & Experience
