IMPACT
The LANL Research Library is undertaking a major collection logistics project at the historic Oppenheimer Building (TA-3, Building 207) - and they need an experienced information professional to help lead it. The team is working to empty a large space containing approximately 1,800 boxes of technical reports, shipping roughly 240 boxes per week to offsite storage through Iron Mountain. Each box holds approximately 70 technical reports requiring indexing - creating spreadsheet records with titles, authors, subjects, and related metadata.
At the IRS2 level, you bring the full working knowledge, independent judgment, and technical information research expertise to own complex aspects of this project. You will resolve issues independently, contribute to organizational goals, coordinate with student workers and project assistants, handle controlled unclassified information following established protocols, and may support FOIA or other information release requests. No security clearance is required and no degree is needed - what matters here is your depth of experience and your ability to work with precision at scale.
RESPONSIBILITIES AND DUTIES
Manage special records or archive collections and perform technical information research and retrieval to meet the information needs of Laboratory staff and external customers
Lead and coordinate the tracking of approximately 1,800 boxes of technical reports being shipped offsite via Iron Mountain at a rate of approximately 240 boxes per week
Create and maintain spreadsheets of box barcodes and inventory data, including title, author, subject, and related indexing information
Upload box and inventory data into Iron Mountain Connect and other online systems
Develop and maintain specialized information retrieval strategies; capture metrics to meet program objectives
Index technical reports onsite including reports that may contain Controlled Unclassified Information, creating spreadsheet records with title, author, subject, and related metadata
Provide guidance and coordination to student workers and project assistants on indexing and logistics tasks
Review indexed records from outsourced vendor for accuracy, completeness, and consistency
Assist in development of organizational procedures; participate in inventories and audits
Support FOIA coordinator in responding to Freedom of Information Act or other information release requests as needed
Communicate with Iron Mountain, LANL groups, and local project teams throughout project lifecycle
MINIMUM QUALIFICATIONS
5+ years of related experience in information research, records management, archives, or library services, OR equivalent combination of education and experience
No degree required - experience and demonstrated expertise are the primary qualifications
Full working knowledge of technical information research with ability to resolve a wide range of complex issues independently
Strong attention to detail and accurate data entry experience - the top priority for this role
Strong organizational skills and ability to follow and develop detailed procedures and protocols
Good written and verbal communication skills; experience coordinating with professional networks and contacts
Experience using Microsoft Excel or similar spreadsheet tools
Ability to lift baker's boxes of technical reports up to 25 pounds as needed
Comfortable handling controlled unclassified information following established procedures
DESIRED SKILLS
Experience with Iron Mountain Connect or similar records storage and retrieval platforms
Background in indexing, metadata entry, inventory tracking, or quality control in a library or records management environment
Experience with FOIA or other information release request processes
Familiarity with archive management best practices and information retrieval systems
Experience developing organizational procedures or contributing to program goals
