JOB SUMMARY
The Seasonal Booking Assistant will play a key support role for the Indianapolis Talent Buying Team. This position is integral to the successful booking and execution of live events, helping to manage the day‑to‑day logistics and key details that bring shows from the initial offer through settlement.

WHAT THIS ROLE WILL DO

Provide day‑to‑day support to Talent Buyers on the Indianapolis booking team

Maintain detailed trackers to monitor active offers, holds, and deal progression

Process venue contracts, artist contracts, co‑promote agreements, and COIs for the assigned Indianapolis team’s booking events

Monitor Contracts Tracker to ensure timeliness of responsible deadlines

Review offers from the Live Nation Touring office for accurate expenses and deal points

Send out confirmation sheets and facilitate information about on‑sale

Interface directly with external industry professionals

Compile and maintain digital show folders across internal systems

Correspond with third‑party venues on calendar availability

Prepare pre‑settlements and night‑of‑show event settlements (3‑5 per month average, various seasonally)

Contribute to special projects and team initiatives as needed

Regional travel as necessary

WHAT THIS PERSON WILL BRING

1‑2 years of previous administrative work

Strong attention to detail

Fast learner

Eagerness to support others

Experience using Excel, Adobe, and PowerPoint

Basic understanding of legal terms and concepts used in artist and venue contracts

Must work well under pressure and in high‑stress environments

Adaptable with work hours, supporting weekends, nights, and holidays as needed

Excellent organizational, communication, and analytical skills with the ability to prioritize and handle multiple tasks in a fast‑paced environment
