Position Summary
The Executive Assistant & Sales/Marketing Coordinator is a unique and highly visible role at SILVERSIDE that combines executive support, event coordination, sales operations, and marketing administration. This position is responsible for supporting the Managing Partner and Co-Founder while helping coordinate important business development, marketing, communications, and event activities across the company. This role will have a temp period (30-60 days) but has the potential to convert to full-time.

Executive Scheduling & Calendar Management
Provide calendar and scheduling support for two company executives.

Managing complex calendars and meeting schedules

Coordinating internal and external meetings

Communicating with clients, partners, investors, media, employees, and industry contacts

Prioritizing requests and helping ensure executives are spending time on the highest-value activities

Scheduling appointments, calls, presentations, and events

Managing meeting logistics and supporting preparation as needed

Travel Planning & Coordination
Support domestic and international travel planning for company executives.

Booking flights, hotels, and transportation

Managing itineraries and travel schedules

Coordinating travel-related documentation and logistics

Working with the Director of Executive Operations on complex travel arrangements when necessary

Event Coordination & Management
Support the planning and execution of SILVERSIDE events, conferences, client meetings, and industry activations.

Coordinating logistics for company-sponsored and partner events

Managing event timelines and project plans

Coordinating venues, vendors, guest lists, invitations, and registration processes

Working across internal teams and external partners to ensure successful event execution

Supporting executive appearances, speaking engagements, and conference participation

Serving as a professional representative of SILVERSIDE with clients, partners, and attendees

Support SILVERSIDE's business development, communications, and marketing initiatives.

Supporting sales outreach initiatives and communications

Managing marketing calendars and content schedules

Supporting executive communications and publicity initiatives

Assisting with press outreach, event promotion, and thought leadership activities

Coordinating marketing assets, presentations, and materials as needed

Required Knowledge, Skills & Abilities

2–4 years of experience in an executive assistant, administrative, coordinator, project management, or related role

Strong calendar and scheduling management experience

Excellent written and verbal communication skills

Exceptional organizational and time-management abilities

Strong attention to detail

Solution-oriented mindset

Ability to manage multiple priorities simultaneously

Professional presence and comfort interacting with senior executives and clients

Strong problem-solving and critical-thinking skills

High level of discretion and confidentiality

Self-starter with a proactive approach to work

Positive attitude and willingness to learn

Preferred Experience

Experience with Slack, Google Workspace, Zoom, HubSpot, Notion, and modern collaboration tools

Experience supporting events, conferences, or marketing initiatives

Interest in technology, AI, marketing, media, or startups

Other Requirements & Physical Demands

This position requires in-office presence approximately three to four days per week, generally between 9:00 a.m. and 6:00 p.m.

Attendance at occasional evening events, conferences, client functions, and company activities may be required.

Because this role supports senior executives, reasonable availability outside normal business hours may occasionally be necessary for urgent travel, scheduling, or client-related matters.
