The Role As a Producer, your primary function is to lead the production of memorable, unique experiential, traditional and non-traditional marketing activations, partnering with internal account and creative teams. You will support the production from conception to completion. In the pre-production phases, this job will be hybrid, but the role will require onsite work and travel for the events.
Primary Purpose (75%) : As a Producer it will be your responsibility to work closely with our Executive Producer, account and creative teams to help take creative concepts and bring them to life in the form of unique and engaging experiences. This includes pre-production, execution, and post-production. You will work collaboratively with the client and cross-functionally with both internal teams and external partners to combine creative solutions with project objectives and KPIs to help deliver exceptional results for our clients. You will need to have a foundational knowledge and a background in event production from development to execution, ideally with direct experience on experiential marketing events.
Key Responsibilities & Duties
Support all elements of event production from conception to execution, including pre-production, set-up, breakdown and post production
Support management of budgets and ability to effectively estimate, project and track costs, and work with CIVIC’s financial team to ensure projects are successfully reconciled in accordance with policy and procedure
Detailed management, tracking and filing of project documentation and files
Assist in venue research, sourcing and selection and, as required, permitting
Vendor contract negotiation, including but not limited to venues, production/ staging, AV, and catering using CIVIC tools (i.e. terms and conditions, scopes of work, certificates of insurance requirements, etc)
Mentor more junior team members and work to identify, select, onboard and supervise freelance and temporary event staff as required
Sourcing and selection for various production elements including scenic design and fabrication, AV and lighting, power, furniture and decor as well as site vendors such as heavy equipment and internet
Develop, communicate, and execute production schedule and run-of-show
Ability to manage workload and proactively accomplish tasks
Preserve and foster CIVIC’s Culture and maintain a positive and forward-thinking attitude.
Engage with and support client and third-party consultant in person/on-site to diplomatically discover client production needs and proactively provide solutions within their budget
Contribute to concept development meetings and requests for proposal for new projects and clients
Secondary Ad Hoc Projects (25%) :
Manage Team and Company processes and procedures as needed
Experience / Requirements 3-6 years demonstrated interest/experience in experiential or special events. Please note that applicants without experience leading technical vendors for live events (not television or video) will unfortunately not be considered.
Demonstrated experience in specific areas of special event production, with experience working with a variety of production and technical vendors, including (but not limited to) scenic, video, lighting, audio, power, heavy equipment and both union and non-union labor
Resourceful self-starter who thrives in a fast-paced environment, who can anticipate and overcome obstacles while still effectively communicating challenges to the wider team, and who can leverage their technical expertise for creative and safe problem solving
Proven organizational skills, with high attention to detail and excellent communication + presentation skills. Must be a clear, concise, strong writer.
Experience developing budgets of various sizes up to seven figures without exceeding the bottom line and supervising a detailed reconciliation process
Ability to read + interpret technical drawings
Strong Microsoft Word, Excel and PowerPoint skills – Including proficiency in Google Docs. Experience in additional programs such as AutoCAD and/or Photoshop/ Illustrator/ InDesign helpful

Bachelor’s degree and/or demonstrated experience preferred
