Hours and Pay:

Full-time, non-exempt/hourly, 40 hours/week, flexible, some weekends and some evenings.

Requirements: Educational & Experience

Proficiency in Microsoft Office Suite, especially Excel, Word, and PowerPoint

Ability to learn parish and organizational management software used in STM

Ability to work in fast-paced environment, manage multiple tasks, attention to detail

Strong Verbal and written communication skills

Working knowledge of or the ability to learn Catholic Liturgical Norms

Be a fully initiated Catholic in the communion of the Catholic Church and intentionally living out the five precepts of the Church (CCC 2041-2043).

Refrain from promotion or approval of, or the living out of, any conduct or lifestyle that would reflect discredit or disgrace on, or cause scandal in relationship to, the Archdiocese of Denver, or considered to be in contradiction with Catholic doctrine or morals.

Essential Duties

Administrative support of the Director of Liturgy

Create and manage the schedule of Liturgical Ministers for Masses, confessions and other liturgical events

Assist in the Management of the Adoration Chapel

Because the liturgical life of the Church is central to parish operations, this role requires availability during significant feast days and liturgical seasons, including Christmas, Holy Week, Triduum, and other major parish celebrations.

Responsibilities

Manage and prioritize the Director’s calendar, appointments and scheduling needs

Manage monthly meeting schedule for liturgy sacristans and weekly meetings with liturgy staff

Draft, proofread and format emails, reports, spreadsheets

Maintain digital and physical filing systems

Create and process check requests, invoices, reimbursements, priests Mass Intentions, Bination and Archdiocese Mass Intentions

Assist with preparations for weekly and special liturgies

Assist in the creation of annual Mass Intention and Liturgical calendar

Prepare monthly materials for Homily Preparation Meetings

Prepare, distribute and post updated liturgical calendars weekly

Prepare weekend sacristan basket

Manage weekend Mass counts and October Mass counts

Coordinate confession and Holy Hour liturgies as well as special/large confession services

Assist with communications to clergy, liturgy staff and liturgical ministers as needed

Assist with communications between Director and other departments

Manage the databases for Liturgical Ministers and Perpetual Adoration

Create quarterly the schedule for all liturgical ministries

Assist and communicate with minsters and ministry leads as needed

Coordinate and communicate altar server training

Track weekly altar server hours and communicate as servers progress

Manage volunteers for laundering and organizing altar server vestments

Conduct a weekly inventory of disposable liturgical supplies

Manage inventory of annual liturgical orders – ashes, palms, novena cards, etc.

Create and manage an inventory of all capital liturgical supplies, including seasonal items

Maintain liturgical carts for satellite liturgical locations

Maintain all liturgy storage areas

Maintain confessionals

Assist in the management of the Adoration Chapel

Coordinate Mother's Day, Father's Day and All Souls prayer intention envelopes and other special events as needed, such as Epiphany water bottles, chalk & prayer

Organize and Coordinate with Communications for any weekend events or giveaways

Prepare signage for the church, narthex, Adoration Chapel, parking lots

Prepare daily altar announcements

Create and coordinate an ongoing prayer ministry for all liturgical ministries

Attend and participate in monthly Liturgy Department, Pastoral Staff and other meetings

Sacristan a 9am Mass (Friday) and cover other daily Masses when needed

Sacristan funeral Masses, special event Masses, weekend Masses, Holy Days of Obligation and Holiday Masses as needed

Anticipate needs and proactively solve problems before they arise

Ability to handle confidential or sensitive matters discreetly

Other duties as assigned by supervisor

Physical Requirements
Visual acuity both near and far, manual dexterity with good eye/hand coordination, good hearing, and speech; ability to sit for extended periods; ability to stand and walk for extended periods of time; kneel, stoop, bend, lift, and squat as necessary to perform the duties of the position; ability to lift/move objects of up to 25 pounds in weight.
