As a Sales Coordinator, you’ll be the go-to partner for our Director of Sales, Sales Managers, and Catering team—keeping things organized, communicating with clients, and ensuring every detail is in place. Job Summary
The Sales Coordinator provides administrative and clerical support to the hotel’s sales and catering team while assisting in light selling duties for small groups and functions. This position plays a key role in ensuring smooth communication between clients and the hotel, supporting the sales team in reaching their goals, and helping deliver memorable experiences for our guests.

Key Functions & Responsibilities

Provide administrative support to the Director of Sales, Sales Managers, and Catering Manager

Prepare proposals, contracts, reports, and correspondence for clients and the sales team

Maintain accurate records in sales systems (room blocks, contracts, event details)

Assist with light selling duties for small groups and functions as directed

Communicate professionally with clients, responding promptly to inquiries and requests

Coordinate internal communication between departments to ensure client needs are met

Assist in preparing Banquet Event Orders and group resumes as needed

Support site tours, client visits, and pre-event planning activities

Handle general office duties such as filing, answering phones, and scheduling appointments

Attend meetings and provide accurate notes, follow-ups, and task tracking

Approach all guest and associate interactions with warmth, professionalism, and service focus

Maintain regular attendance in compliance with Avion Hospitality standards, including availability for some weekends and holidays as business needs require

Requirements

High school diploma or equivalent required; college degree preferred

Previous hotel sales experience

Strong organizational and multitasking skills

Excellent written and verbal communication abilities

Proficiency with Microsoft Office and comfort with hotel sales systems

Attention to detail and ability to manage multiple priorities

Professional appearance and positive, service-oriented attitude

Flexibility to work occasional weekends and holidays
