We’re a fast-scaling performance-marketing and software company operating at serious volume. We’re looking for a sharp, self-directed coordinator who owns outcomes — not just tasks — and makes things happen without being walked through every step. This role blends project management, client and partner outreach, and executive support: you’ll run our meetings, keep work moving, drive new-business follow-ups, and catch problems before they cost us. We want someone who thinks and improves how things are done — not someone who waits to be told.
What you’ll do
Project & Meeting Management: Run weekly team meetings — set the agenda, document decisions, assign tasks, and follow up until they’re actually done.
Keep our task-management system (Teamwork) current and our projects genuinely moving forward — not just updated.
Spot blockers, gaps, and inefficiencies early — and bring solutions, not just problems.
Business Development & Client Outreach: Own our CRM (Pipedrive): keep it accurate and use it to actually move deals forward — chase follow-ups, revive cold leads, and close loops.
Run outreach to prospective clients and partners; follow up consistently so no opportunity goes cold.
Be proactive in every client and partner conversation: anticipate needs, respond fast, and flag opportunities and risks early.
Take real ownership of new-business results — your work should show up in revenue.
Operational Excellence: Watch the numbers that matter daily — buyer bids, caps, and acceptance rates — and chase issues the same day, not weeks later.
Take ownership of deadlines, deliverables, and priorities; nothing falls through the cracks.
Proactively improve and streamline how we work — automate or simplify the repetitive stuff wherever you can.
Keep teams and project owners accountable across the business.
Strategic Support: Act as a strategic partner to leadership in execution; prioritize tasks, highlight risks, and keep stakeholders informed.
Give clear, honest updates on what you’re working on and what it’s producing — substance over busywork.
Conduct research to support decision-making (market trends, tools, client background).
Handle miscellaneous executive / admin tasks as needed.
What we’re looking for
Proven experience in project coordination, business development, or executive support.
Strong critical thinking — you take what you’re given and make it happen, without us figuring it out for you.
Reliability and ownership: when something is yours, it gets done — no chasing required.
Excellent written and spoken English, with real presence in client meetings — you can run a call and represent us, not just read a script.
A fast learner who picks up our domain quickly: lead generation and performance-marketing fundamentals (CPA, CPL, acceptance rates, caps).
Proactive and resourceful — you notice problems in the data and act before being asked.
Comfortable being measured on results, including the revenue you help drive.
Hands-on with Pipedrive and Teamwork (or similar CRMs and task managers), and highly organized.
