Program Scheduler – Santa Ana (In‑Home and SLS services)
Hourly Rate: $20–22 per hour
Shifts: Weekdays, Weekends, Days, Evenings
Status: Full‑Time

Job Summary
Provides support to the In‑Home and S.L.S. program by being the initial point of contact for visitors, managing staff schedules, appointments, and communication, and performing administrative duties under the supervision of the Administrative Director.
Essential Functions
Handles office management functions for Directors/Senior managers.
Answers phones, takes messages, and transfers calls to appropriate parties.
Oversees and manages staff scheduling with the assistance and supervision of the Administrative Director using computer‑based systems.
Develops weekly schedules, ensuring staff are aware of the number of hours they are authorized to work each week.
Keeps track of staff callouts and tardiness.
Informs the Administrative Director of P.O.S. expirations.
Tracks and schedules vacation requests and hours for both clients and staff.
Provides new client service overview to staff prior to the first scheduled shift.
Produces and maintains a telephone directory for supported departments.
Establishes and coordinates meeting schedules and makes appropriate arrangements.
Manages paper flow of the assigned departments, including photocopying, faxes, filing, data input, data integrity, and document tracking systems.
Inventory and coordinates ordering of office supplies for the supported departments.
Develops and maintains efficient and effective filing systems.
Ensures appropriate quantities of program/publicity materials are on hand and distributed.
Deals competently and courteously with clients, parents, and staff.
Completes documentation and reports accurately and on time; documentation may include web‑based, electronic, and/or paper documents.
Develops positive workplace relationships in accordance with SAILS policies and procedures with staff and peers, offering appropriate support within a nurturing environment while maintaining high professionalism.
Attends and participates in staff meetings and other team meetings as program needs dictate.
Adheres to professional ethics and standards of conduct established by professional licensure, Redwood Family Care Network policies, and legal, funding, and regulatory requirements.
Education and Experience
High School Diploma or GED.
At least 21 years of age.
Prefer two years of specialized training emphasizing office management.
Three years of experience working within a business, mental health, or education setting.
Valid California Driver’s License.
Must successfully pass all pre‑employment requirements, including a background check.
Physical Requirements
Must be able to lift 50 lbs.
Able to work both indoors and outdoors in all weather conditions.
