Advanced Entertainment Technologies Inc is looking for a Producer based in Baltimore, MD.
Producer Role In the Production department, the Producer serves as the central hub of each project, connecting clients with internal teams to deliver innovative, safe, and world‑class special effects solutions.
The Producer is responsible for the successful planning, coordination, execution, and delivery of assigned projects from initial client engagement through final project closeout, ensuring projects are executed safely, efficiently, on schedule, within budget, and in accordance with Image Engineering and ImageSFX’s standards.
Key Responsibilities Client & Project Leadership Serve as the primary point of contact for assigned clients throughout the entire project lifecycle.
Partner with Account Managers to define project scope, objectives, milestones, deliverables, and success criteria.
Translate client objectives into actionable production, technical, engineering, and operational plans.
Develop and maintain strong client relationships through proactive communication and exceptional customer service.
Manage client expectations while communicating project status, schedule updates, risks, and changes.
Facilitate project meetings, site visits, production reviews, and post‑project debriefs.
Represent ImageSFX professionally with clients, venues, partners, vendors, and regulatory agencies.
Project Planning & Production Lead projects from initial concept through design, pre‑production, onsite execution, and final project closeout.
Develop and maintain comprehensive project documentation including budgets, estimates, contracts, purchase orders, invoices, change orders, production schedules, run‑of‑show documents, site plans, and production briefs.
Coordinate project schedules, logistics, staffing plans, transportation, accommodations, permitting, and equipment requirements.
Maintain accurate project records throughout the project lifecycle.
Monitor project progress while proactively identifying and resolving issues before they impact execution.
Ensure projects are delivered on time, within scope, and within budget.
Financial Management Develop, manage, and monitor project budgets ranging from approximately $75,000 to $500,000+.
Track labor, equipment, vendor expenses, subcontractor costs, and project profitability.
Coordinate billing milestones, contract execution, purchase orders, invoicing, and financial reconciliation.
Manage change orders and budget adjustments while maintaining transparency with clients and leadership.
Lead project closeout activities including final billing, budget reconciliation, reporting, and lessons learned.
Cross‑Functional Leadership Coordinate internal resources including design, engineering, operations, compliance, warehouse, logistics, and technical services.
Collaborate with fabrication teams, technicians, and engineering staff to successfully execute project scope.
Coordinate field crews, subcontractors, vendors, and suppliers.
Build and maintain strong relationships with clients, vendors, venues, and production partners.
Keep leadership informed of project status, risks, resource needs, and client concerns.
Onsite Production Management Serve as the onsite Producer during installations, rehearsals, load‑ins, performances, and strike.
Direct crews, technicians, subcontractors, and vendors to ensure efficient project execution.
Make real‑time operational and technical decisions to overcome project challenges.
Monitor schedules, logistics, staffing, and production quality throughout execution.
Deliver a high‑quality client experience while maintaining company standards of professionalism.
Safety & Risk Management Promote a culture of safety across all project activities.
Ensure compliance with company policies, industry standards, permits, and regulatory requirements.
Identify project risks and develop mitigation strategies during planning and execution.
Support project‑specific safety planning and operational readiness.
Participate in incident reporting, corrective actions, and post‑event reviews when required.
Requirements Bachelor’s degree or equivalent work experience
Five (5) to eight (8) years of experience in event project management or production as a lead project manager/producer or similar role
Motivation as a self‑starter to manage own workload, self‑direction, and problem‑solving with minimal oversight
Experience leading projects with estimated values from $75,000 to $500,000
Strong organizational skills, including attention to detail and multitasking
Ability to lead teams in high‑stress, fast‑paced environments
Working knowledge of, or ability to learn, entertainment industry technologies
High emotional intelligence, utilized to communicate differently and effectively with clients, internal team members, contract employees, and external vendors
Computer skills: macOS, Microsoft Office Suite—especially Microsoft Word, Excel, and PowerPoint
Experience in event planning, event production, live sports game‑day production, or theater is a plus

Position Type & Expected Hours This is a full‑time, in‑office position located at our Baltimore, MD headquarters. Office days and hours of work are Monday through Friday, 9:30 a.m. to 6:00 p.m. Working after hours and on weekends will be required as needed to fulfill the duties of this position during busy seasons.
Travel Overnight and local day travel is anticipated and may be extended due to project requirements. Travel is estimated at 20% to 30%.
