Position Overview
The Media Project Manager will provide campaign coordination, planning support, operational management, and performance reporting for a national marketing team. Acting as the central point of coordination across campaign workstreams, the role ensures campaigns are effectively planned, tracked, documented, communicated, analyzed, and reported across multiple channels and stakeholder groups. The ideal candidate is highly organized, analytical, detail‑oriented, proactive, and skilled at managing multiple priorities in a fast‑paced marketing environment.

Key Responsibilities

Campaign Planning & Coordination

Serve as the primary coordinator for national marketing campaigns and strategic initiatives.

Maintain centralized campaign documentation, keeping timelines, deliverables, milestones, and action items current and accessible.

Support campaign managers and marketing leaders in coordinating planning activities, meetings, project milestones, and follow‑ups.

Capture meeting outcomes, action items, risks, decisions, and next steps; ensure appropriate follow‑up across stakeholders.

Identify potential timeline conflicts, dependencies, execution risks, and information gaps; advance escalation as needed.

Provide the marketing team a clear, organized, and accurate view of national campaign work in progress.

Campaign Operations, Analytics & Visibility

Maintain a real‑time view of all active and upcoming national campaigns.

Track campaign status and reporting processes, ensuring consistent visibility across workstreams.

Coordinate updates from project owners and cross‑functional partners to keep project information accurate.

Monitor progress against milestones and communicate status updates to stakeholders and leadership.

Track campaign activity, deliverables, outcomes, and performance inputs to assess business impact.

Develop and maintain Excel‑based trackers, reporting templates, dashboards, and summary documents.

Prepare PowerPoint updates summarizing campaign activity, risks, dependencies, and results.

Ensure all campaign documentation, planning resources, reporting files, and performance tracking materials remain organized.

Campaign Calendar Management

Own and maintain the national campaign calendar with a cross‑channel view.

Coordinate launch schedules, milestones, and key business moments across channels.

Identify scheduling conflicts and collaborate with stakeholders to optimize alignment.

Communicate calendar updates effectively across partner teams.

Channel Coordination & Tracking

Track channel participation, deliverables, readiness, and status across national campaigns.

Maintain records of campaign messaging, channel requirements, execution plans, and performance inputs.

Partner with cross‑functional teams to gather and validate campaign support information.

Provide reporting on campaign readiness, execution status, risks, and results.

Project Management & Team Support

Maintain project management tools and documentation for workflow, task management, and visibility.

Use Microsoft Planner and related tools to track tasks, owners, deadlines, and progress.

Track action items, deliverables, dependencies, and follow‑ups across campaigns.

Identify opportunities to increase efficiency, consistency, and reporting rigor.

Assist with leadership updates, status reports, campaign recaps, and business review materials.

Act as a proactive business partner, clarifying, tracking, documenting, or elevating needs.

Support additional planning, reporting, and operational initiatives as needed.

Required Qualifications

3+ years’ experience in project coordination, campaign operations, marketing operations, project management, business operations, analytics coordination, or a related field.

Experience supporting marketing teams, national campaigns, integrated campaigns, or multi‑channel initiatives preferred.

Strong analytical skills to organize information, identify patterns, track progress, and connect activity to business results.

Expert proficiency in Microsoft Excel for trackers, status reports, reporting templates, and analysis tools.

Strong PowerPoint skills to present complex information clearly and leadership‑ready.

Experience with Microsoft Planner or similar project/task management platforms.

Strong organizational, project coordination, and time management skills.

Exceptional attention to detail and accuracy across concurrent projects.

Experience managing project plans, timelines, status reporting, task tracking, documentation, and stakeholder updates.

Ability to synthesize information from multiple stakeholders into clear reporting, documentation, and next steps.

Ability to manage multiple priorities and deadlines in a fast‑paced environment.

Strong written and verbal communication skills.

Ability to collaborate with cross‑functional teams, project owners, and senior stakeholders.

Experience with performance tracking, business reporting, or marketing analytics is a plus.

Success Measures

Accurate and up‑to‑date visibility across all active and upcoming national marketing campaigns.

Consistent maintenance of campaign calendars, planning tools, Microsoft Planner boards, Excel trackers, and status reporting.

Clear documentation of campaign activity, decisions, dependencies, action items, risks, and next steps.

Improved cross‑functional coordination, communication, and accountability across the marketing team and partner groups.

Leadership‑ready reporting that clearly summarizes campaign progress, activity, and business impact.
