Under supervision performs general office or secretarial work of moderate difficulty; performs related work as assigned.
Please note: This is a part‑time position, working 20 hours or less.
Answers incoming phone calls, assists customers with court and probation related questions, and directs callers to appropriate parties
Accepts and processes paperwork for new and existing case files; enters confidential data into secure computer systems; collects, processes, and records funds received, performs related accounting tasks, and balances cash and receivables drawer.
Compiles reports and summaries of work
Updates, checks and completes records, forms and documents
Verifies discrepancies and makes corrections
Processes documents to update and maintain files and records
Researches records and disburses information
Processes and distributes confidential and sensitive documents
Establishes and maintains complex filing systems
Composes, formats and types routine correspondence, reports and other documents
Operates and maintains a variety of office equipment
Performs complex data entry
May record and document proceedings
May orient and train other clerical staff
May coordinate calendars, schedules, meetings, training and travel arrangements
Maintains account records, cash control, accounts receivable and accounts payable
May assist other agencies and the public with information forms and other department resources and explaining procedures
May order, receive and distribute office and program supplies
Essential functions of this position include but are not limited to sitting, walking, standing, crouching, stooping, kneeling, reaching, bending, and crawling for filing; working with and around others; dealing with interruptions; repetitive motion (hand/wrist/elbow/ shoulder) for computer work, filing, copying, etc.; vision acuity (near) for computer work and reading documents; hearing and speech for ordinary conversation; finger dexterity and touch for typing.
Two years' experience in performing clerical or administrative work within subject area; OR Associate's degree and one year experience in performing clerical or administrative work within subject area; OR any equivalent combination of education, training and experience which demonstrates the ability to perform the duties of the position.
Preferred Qualifications
Experience with AJACS, JOLTS/JOLTSAZ, or other case management system; two or more years utilizing Microsoft Office, Word and Excel. Experience in a legal or court environment, demonstrated skill and experience with computer applications.
