Job Summary
The Program Coordinator works in collaboration with the Program Director and other Foundation staff to implement and coordinate a variety of program functions. The Program Coordinator will assist in the professional development, retention, and engagement activities for all NBCC Foundation awardees. The Program Coordinator will assist with planning and participation in virtual and in-person events and outreach activities. Additionally, the Program Coordinator will participate in the review and selection process for all new cohorts. The Program Coordinator will assist in the planning, design, collection, analysis, and reporting of program data, and will be responsible for document preparation and customer service. The Program Coordinator will also assist the Program Director with ensuring that Fellows and Scholars meet all program requirements and deliverables, such as application, review and award activities; webinar engineering; compliance documentation; and complex document preparation.
Essential Duties and Responsibilities
Collects, compiles, records, or otherwise gathers data and prepares standard and custom reports with information necessary for decision‑making and compliance documentation.
Manages application platforms, application files, and program participant records.
Assists Program Manager and Program Director in preparing presenters for webinars.
Provides logistical and technical support for the delivery of webinars.
Coordinates webinars by tracking and reporting attendee registration data, preparing and monitoring agreements, preparing event materials, sending follow‑up communications, coordinating continuing education documentation dissemination, and preparing presenter payment requests.
Maintains the Approved Continuing Education Provider, Fellow, Scholar, alumni, presenter, and other records.
Assists with travel, training, and conference planning.
Assists with program participant outreach, tracking, scheduling, and communication.
Assists with the production of program‑related media.
Participates in organizational planning and development.
Provides customer service, including general Foundation inbox and phone support in addition to directly supporting Fellows, Scholars, alumni, and applicants.
Oversees the tracking of fellowship and scholarship deliverables, providing status reports to the Program Manager and Program Director.
Completes initial updates and review of scholarship, fellowship, and other programmatic materials.
Manages deliverable and event calendar for Fellows and Scholars to ensure accuracy and alignment with project timelines.
Assists Program Director with monitoring and tracking project milestones and deliverables.
Other duties as assigned.
Required Education and Experience
Bachelor’s degree required
5 years of related experience and/or training preferred
