The Technical Producer, Live Events is a hands‑on production role responsible for executing Keystone Symposia’s livestreamed and recorded scientific conferences. During the Jan.-June meeting season, this position travels onsite to manage technical production from setup through strike, including livestream setup, live switching, AV coordination, presenter support, troubleshooting, and recording workflows.
Outside of the production season, this role focuses on equipment readiness, inventory management, workflow improvement, vendor coordination, and preparation for the next conference cycle. This position requires practical audio‑visual knowledge, problem‑solving skills, and the ability to coordinate production needs in fast‑moving live event environments.
Production Season and Availability
Keystone Symposia’s primary meeting season runs from January through June. During this period, the Technical Producer is expected to travel frequently to support in‑person conferences and must be available for the demands of live event production, including early mornings, evenings, weekends, and setup/strike days.
The position is full‑time, year‑round with frequent travel during Keystone Symposia’s Jan.-June meeting season. This role requires variable hours during live event assignments, including early mornings, evenings, weekends, setup days, and strike days. Off season requires two days working in the office in Silverthorne, Colorado.
Live Event Production
Set up, test, operate, and strike portable livestream and recording systems for in‑person scientific conferences
Operate live production equipment, including video switchers, cameras, mixers, recording systems
Monitor stream quality, audio, video, slides, camera movement, and run‑of‑show
Coordinate with venue AV teams, vendors, contractors, and internal staff
Ensure recordings and related production materials are captured, organized, and handed off according to established standards and workflows
Logistics and Inventory Management
Pack, transport, ship, receive, organize, and maintain livestream and audio‑visual production equipment
Manage production kits, cases, cables, cameras, switchers, adapters, and backups
Maintain accurate inventory records and identify equipment repair, replacement, or purchasing needs
Prepare and support gear movement, storage, labeling, testing, and readiness throughout the annual production cycle
Planning and Readiness
Support pre‑conference technical planning, including venue review, equipment needs, room setups, and network requirements
Coordinate with internal teams, venue contacts, AV providers, contractors, and vendors to prepare for each event
Test new tools, equipment, and workflows to improve livestream quality, reliability, and scalability
Supervisory Responsibilities
None.
Required Skills & Abilities
3+ years of experience in audio‑visual, broadcast, livestream or video production, or a related field
Hands‑on experience setting up and operating live video and audio production equipment
Ability to travel frequently during the January‑June meeting season
Ability to work early mornings, evenings, weekends, and multi‑day on‑site assignments during production season
Ability to lift, carry, pack, transport, and set up production equipment, with or without reasonable accommodation
Professional communication skills with speakers, venue staff, vendors, contractors, and internal teams
Education & Experience
Experience with livestreamed conferences, hybrid events, academic meetings, medical meetings, or association events
Experience with live switching, cameras, microphones, audio mixers, and recording workflows
Experience coordinating with venue AV teams or third‑party production vendors
Physical Requirements
Prolonged periods of standing and walking during conference setup, production, and strike, including early mornings, evenings, and weekends
Frequent bending, reaching, kneeling, carrying, pushing, and pulling while installing, operating, packing, and transporting production equipment
Ability to lift and carry production equipment weighing up to 50 pounds independently
Prolonged periods sitting at a desk and working on a computer during planning, preparation, and post‑production work
Compensation
The salary range for this position is $72,000–$93,000 per year, depending on experience and qualifications. The position is full‑time, year‑round with frequent travel during Keystone Symposia’s Jan.-June meeting season. This role requires variable hours during live event assignments, including early mornings, evenings, weekends, setup days, and strike days.
