Northwest Nazarene University (NNU) athletic programs compete at the NCAA Division II level. NNU is a member of the Great Northwest Athletic Conference (GNAC) which is comprised of the following ten members: University of Alaska-Anchorage, University of Alaska-Fairbanks, Central Washington University, Montana State University-Billings, Northwest Nazarene University, Saint Martin's University, Seattle Pacific University, Simon Fraser University, Western Oregon University, and Western Washington University. NNU offers the following nine sports for women: basketball, cross country, golf, soccer, softball, track & field (indoor and outdoor), STUNT, and volleyball. NNU offers the following eight sports for men: baseball, basketball, cross country, golf, soccer, lacrosse, and track & field (indoor and outdoor).

Description
Office Manager for Athletics

Northwest Nazarene University seeks an Office Manager to support the Department of Intercollegiate Athletics. The role will greet constituents, provide administrative support, and coordinate operations across the athletic department.

Essential Functions
Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Greets constituents, guests, and students; answers phone; oversees administrative duties; serves as contact person for Athletics and Sport & Exercise Science.

Leads staffing processes for coaches, staff, GA’s, and other personnel; collaborates with Athletic Director, Associate AD of Compliance, IT, and HR; coordinates onboarding and off‑boarding with HR and IT.

Prepares required NCAA paperwork and reports in coordination with Associate Athletic Director of Compliance, Student Affairs, and other campus offices.

Develops, secures signatures, and files contracts (game contracts, rental contracts, sponsorship contracts, etc.) and processes game guarantee checks.

Serves as budget monitor by producing monthly reports for the AD and meeting with coaches on budgets as needed.

Assists with department event planning and logistics, including implementation of events.

Communicates purchase process and renewals with reserved indoor season pass holders through Vivenu ticketing system.

Processes room reservation requests, facilities work orders, supply orders, and mail run.

Prepares revenue and donation deposits for the Finance Office and University Advancement.

Processes check orders or employee reimbursements, follows up on outstanding PO’s.
Collaborates with Sport & Exercise Science Chair to schedule classroom space and develop a course schedule.

Performs other duties as assigned.

Minimum Qualifications

Bachelor’s Degree

Strong communication skills, both written and oral

Ability to maintain confidential information

Strong organizational skills

Intermediate to advanced proficiency in Microsoft Word and Excel

Recognition of Christian values in alignment with NNU’s mission; candidate must be comfortable with the mission and lifestyle values of NNU.

Preferred Qualifications

Database and bookkeeping experience

Budget management experience

Event planning and management experience

NCAA knowledge

Online ticketing experience
