This Documentation Specialist II opportunity is suited to a technically capable professional with strong information management expertise and a structured approach to document control. The Documentation Specialist II will play a key role in supporting a foundations team environment, ensuring critical facility information is controlled, accessible and current.
Role Context
This role is based in Spring, TX and supports a foundations team working across facility‑related programme activity.
The position involves collaboration with foundations team members, asset teams and system owners, with a focus on programme scope definition, document control and status tracking.
The working environment is centred on maintaining accurate programme information and supporting documentation handover within a complex operational setting.
Responsibilities
Gather, organise and distribute existing information to support document creation and verification activities.
Receive new and updated documentation and ensure accurate submission into the appropriate data repositories.
Maintain control of facility information so that documentation remains current, accessible and properly managed.
Create and maintain an evergreen master facility and status list to provide a reliable source of programme tracking information.
Generate status and progress reporting from the master list, including completion insights and programme updates.
Manage document and data flow across the foundations team and support effective coordination between stakeholders.
Support the development and maintenance of key deliverables, templates and tracking tools related to document management.
Coordinate with relevant teams to support final documentation handover and ensure information quality standards are met.
Provide oversight and guidance to document and information management support activities where required.
Deliver training support to promote understanding of documentation requirements and consistent use of processes.
Qualifications & Experience
Demonstrated experience in information management, document control or documentation coordination within a technical or facility‑based environment.
Strong ability to manage documentation accuracy, version control and structured information flow across multiple stakeholders.
Experience creating and maintaining master tracking registers, status sheets or deliverable lists.
Ability to produce clear status reporting and monitor programme progress through well‑maintained documentation records.
Strong organisational skills and attention to detail, with the ability to manage multiple documentation priorities effectively.
Confident communication skills and the ability to work collaboratively with cross‑functional teams.
