Position Summary
Under minimal supervision and with extensive latitude for initiative and independent judgement, directs and oversees the Business Center’s day‑to‑day operations. The Business Center processes all business transactions and provides financial, analytical and business process transactional services to faculty and staff within its assigned area. It plans, assigns, and supervises the work of others.
Statement Of Duties And Responsibilities
Manages the day‑to‑day operations of the Business Center.
Oversees the completion, accuracy and timeliness of a variety of complex, business transactions, including accounting (posting/reconciling), budget development and monitoring, personnel and payroll transactions, purchasing and inventory, records management and related areas.
Supervises Business Center Specialists and student assistants and provides training on grants accounting, purchasing and procurement, travel, and account reconciliation.
Establishes clear expectations for staff and prepares annual performance evaluations to identify strengths and improvement opportunities.
Establishes systems of controls for business process management; develops procedures to improve existing systems; captures, defines, analyzes and streamlines processes for better delivery of services, data flows, approvals, feedback loops, internal controls and execution.
Ensures documentation and accuracy of processes and controls that are effective, efficient and protect data integrity.
Coordinates with functional leads to implement data‑integration and process improvements across all functional areas.
Prepares monthly financial reports for Department Chairs and Principal Investigators on various funding sources—federal, state, local and private—to ensure compliance with university policies.
Interprets and applies procedures and regulations to the administration of government and private research grants, contracts and gifts.
Participates in implementing goals, policies, priorities and procedures related to business process management regarding resource allocation, human‑resources modelling and coordination of people and resources.
Communicates and coordinates policies, practices and procedures with department chairs/managers, vendors, reporting agencies, clients and other customers.
Prepares and reviews statements and reports for trends, analyses and other studies.
Identifies and resolves issues, concerns, discrepancies, problems and inconsistencies, determining appropriate corrective procedures.
Collects research financial data based on specific criteria and draws valid conclusions at the fiscal year’s close.
Manages grant post‑award activities, including budget transfers, cost transfers, disencumbrance of funds and cost‑sharing tracking of expenditures.
Maintains confidentiality and ensures the safety of all confidential and sensitive information.
Actively liaises between departments and internal or external customers, interacting by telephone, electronically or face‑to‑face to support transactional needs, respond promptly to inquiries, handle complaints, elevate unresolved issues and keep records of interactions and actions.
Participates in committees, professional trainings, industry conferences and conventions.
Uses extensively MS Office Suite products and HR and finance ERP systems such as Peoplesoft, Banner, Hyperion and other institutional software.
Complies with all federal, state, local laws and the University of Texas System, Regental and UTEP policies.

Carries out supervisory responsibilities in accordance with the organization’s objectives, policies and applicable laws.

Education:
Bachelor Degree
Experience:
Three years of experience related to the duties and responsibilities; or an equivalent combination of education and experience.
