These solutions may include lighting, audio, video, power distribution, or a combination of all elements required to transform an event space.

Duties and Responsibilities
Project Planning and Coordination
Develop and maintain event timelines, Run of Show (ROS), and crew schedules.
Coordinate with internal teams including Account Management, Warehouse, and Logistics.
Manage overall event logistics from pre-production through execution.
Assist in coordination and procurement of Subrentals and necessary PO’s.
On-Site Event Management
Supervise lighting crews, union workers, and independent contractors during installation, show operation, and strike.
Ensure equipment is installed properly and meets quality standards.
Troubleshoot technical or logistical issues that arise during events.
Manage event strike operations, including inventory management, truck loading, and tracking broken or faulty equipment.
Client Communication
Serve as the primary on-site contact for the client when the Account Manager is not present.
Provide updates, address concerns, and ensure client expectations are met or exceeded.
Documentation and Reporting
Maintain accurate project records, including daily timesheets, event logs, and required documentation.
Complete and collect daily meal and rest break forms for all hourly staff working on site.
Compliance and Safety
Ensure all work adheres to industry standards, safety regulations, and Impact Lighting policies.
Promote and maintain a safe working environment for all crew members.
Pre-Production Responsibilities
Create and update project orders in
Intellievent
.
Collaborate with the Sales Lead to create event plans and drawings using
Vectorworks
.
Attend site surveys with the Impact team when required.
Review equipment orders in Intellievent to confirm accuracy and completeness of design descriptions.
Review labor allocations and consult with the Account Manager to ensure adequate staffing for project timelines.
Act as the primary liaison between Account Managers and the Impact Warehouse team.
Track client or order changes and communicate updates to the warehouse and logistics teams.
Work with the warehouse team to assist with final order preparation and equipment pulling.
Pull any necessary permits for generators as needed per city guidelines.
On-Site Responsibilities
Direct and manage crews during installation, show operation, and strike while maintaining the project schedule.
Plan and ensure all crew members receive required meal and rest breaks.
Represent Impact as the primary on-site company contact when the Account Manager is off-site.
Collect and complete hiring packets for union workers and return them with the truck or submit to Human Resources within 24 hours.
Maintain daily timesheets and event logs for all event staff.
Promote and ensure crew safety at all times while on site.
Follow all reporting procedures for vehicle incidents and employee injuries. Complete accident/injury reports and immediately notify management or Human Resources.
Coordinate with other department managers and crews on site to ensure event success.
Track and document any on-site expenses (parking, supplies, etc.) and submit receipts with monthly expense reports.
Adhere to all company policies, procedures, and business ethics standards as outlined in the employee handbook.
Travel in and around Bay Area event sites is required.
Perform additional duties as assigned by management.

Ability to thrive in a fast-paced, high-pressure environment
Proven success in a project management role
Working knowledge of Vectorworks and Intellievent
Familiarity with the San Francisco Bay Area is a plus
Ability to lift up to 50 lbs continuously and stand or walk for extended periods during event shifts
Valid Driver’s License and reliable transportation.
