Purpose: Keller Postman seeks a Mailroom Document Specialist as part of our Digital Documentation Department. The Specialist handles a wide variety of digital document processing services and mail-related requests, providing support to the organization’s inbound and outbound postal and digital mail demands. The ideal candidate will be highly motivated, able to multitask, and comfortable in a fast-paced setting. The role requires strong knowledge of mailroom and delivery practices and experience in a combined mailroom and digital production copy/print environment. Strong typing skills and solid overall computer skills (Microsoft Office Suite, internet/web-based applications, messaging applications, and Windows operating system) are required.
This full-time position will work in our Chicago office five weekdays per week. The compensation for this position is $23.00 to $25.00 per hour, plus a year-end discretionary bonus and benefits.
Responsibilities Gather, organize, prepare, and review various documents and files for delivery to clients both digitally and via standard ground shipping methods.
Prepare postage and shipping labels to meet industry standards.
Collaborate with and support Intake and Medical Records teams to ensure deadlines are met.
Use proprietary software to document and track the delivery of time‑sensitive documents to clients.
Monitor and manage inbound mailroom channels including physical mail, emails, third-party portals, and proprietary software.
Identify, categorize, and file a high volume of documents to their respective cases for daily review.
Adhere to established processes and procedures; seek opportunities for improvement.
Partner with internal teams to provide status updates and raise issues as appropriate.
Experience and Skills Minimum of 2+ years of operations experience in a professional setting, preferably in legal services or a law firm.
Ability to identify, process, and prepare large volumes of medical records and legal documents using modern technology and efficient processes.
Excellent interpersonal, customer service, verbal and written communication, and problem-solving skills.
Knowledge of law firm, healthcare, and corporate operations workflows preferred.
Prior experience with mass tort, legal document preparation, and patient medical records; familiarity with medical device and pharmaceutical terminology is preferred.
Working knowledge of electronic health records (EHR) and HITECH; ability to suggest and implement efficiencies while staying updated on industry best practices is a plus.
Proficiency with Microsoft Office and Adobe Acrobat tools.
Ability to work independently and in a team environment; demonstrates professionalism with confidential information.
Ability to multi-task and to work independently or as part of a team.
Microsoft Office skills at an intermediate level are required to perform essential responsibilities.
