Position Summary
The Community Manager is the operational and human center of The Village Workspace. This person doesn’t just staff a front desk. This person is the superstar that sets the tone for every member and guest interaction, and keeps the day-to-day operation running so smoothly that members rarely have to think about it.
The winning candidate blends unreasonable hospitality, complex thinker and problem solver, administration, light facilities coordination, and sales support. Success looks like: members are excited to see you each day, they feel known and taken care of, prospective members leave a tour wanting to join, and nothing operational falls through the cracks.
Core Responsibilities
Front Desk Operations
- Staff the front desk Monday through Friday, 8:00 AM – 5:00 PM.
- This position works closely with our Events and Wellness Community Manager, our Space Aesthetics & Hospitality Coordinator, and our full time cleaning staff.
- Greet all members and guests warmly and enthusiastically upon arrival.
- Answer incoming calls within three rings and respond to general inquiries.
- Receive and log all incoming packages; store securely in the locked cabinet.
- Book conference rooms and meeting spaces for members and walk-in guests.
- Review the daily schedule each morning to prepare for tours, meetings, and events.
- Ensure fresh coffee is available in the café throughout the day.
Member Experience & Community
- Conduct new member onboarding sessions on the member’s first day or within the first week.
- Assist members with questions, account issues, and day-to-day needs.
- Build genuine relationships with members and foster connection across the community.
- Serve as the first point of escalation for member concerns; resolve or route appropriately.
Sales & Tours
- Give tours to prospective members following the established Sales & Tours process.
- Capture prospect information accurately and follow up on inquiries in a timely manner.
- Represent The Village Workspace brand, story, and membership options clearly and persuasively.
Systems & Account Administration
- Set up and manage member accounts in DeskWorks.
- Identify and resolve invoicing errors and billing discrepancies.
- Maintain accurate member records, room bookings, and package logs.
- Learn and adopt new software platforms as the business adds them.
Facilities & Vendor Coordination
- Handle internal maintenance issues and coordinate repairs with external vendors.
- Serve as the point of contact for facility vendors per the established vendor list.
- Coordinate with the property manager (RiverRise Capital) on all exterior and building-level issues.
Closing Duties
- Prep and clean the front desk and reception area at the end of each day.
- Turn off all lights and front-desk devices, including candle warmers and the fireplace.
- Secure packages, confirm rooms are reset, and lock up per the closing checklist.
Required Qualifications
- Exceptional interpersonal warmth — able to make every person who walks in feel welcome.
- One who does not wait to be given things to do, but instead is always looking for ways to keep the space and our members taken care of.
- Strong attention to detail with a project-management mindset; tracks multiple moving pieces without prompting.
- High technical aptitude — comfortable learning new software independently and quickly.
- Strong written and verbal communication skills.
- Proven ability to solve problems independently and escalate appropriately.
- Reliable on-site attendance during scheduled business hours.
- Ability to maintain confidentiality with member and financial information.
Preferred Qualifications
- Prior experience in coworking, hospitality, office management, property management, or a membership-based business.
- Experience with a membership or booking platform is a plus (DeskWorks, Nexudus, OfficeRnD, Optix, or similar).
- Experience with Google products (docs, sheets)
- Familiarity with basic invoicing and billing workflows.
- Experience giving tours, demos, or presentations to prospective customers.
Physical & Environmental Requirements
- Ability to work in a fast-paced, constantly changing, and moving environment. It is a large space and lots of walking/moving is involved.
- Ability to lift and move packages weighing up to 30 pounds.
- Work is performed in an indoor office and shared workspace environment.

Performance Expectations — First 90 Days
Days 1–30
- Fully proficient in DeskWorks account setup, room booking, and package logging.
- Able to open and close the space independently.
- Knows most workspace members by name.
Days 31–60
- Delivering tours independently and converting qualified prospects.
- Running new member onboarding sessions without support.
- Managing vendor communication for routine maintenance issues.
Days 61–90
- Identifying and proposing at least one operational improvement.
- Owning invoicing and billing issue resolution end to end.
- Serving as a trusted daily point of contact for the full member community.
