Part-Time Program Coordinator – Contract Classes & Sponsorships
within the
Community & Library Services Department .
This exciting opportunity is based at City Hall and plays an important role in facilitating and expanding recreation programming and sponsorship opportunities throughout the community. The ideal candidate has at least three (3) years of experience working with contract instructors, demonstrates strong communication and interpersonal skills, is highly collaborative, and thrives in a fast-paced environment where attention to detail is essential.
The selected candidate will work up to 19 hours per week, Monday through Friday, with occasional flexibility to work evenings and weekends as needed.
Temporary/part-time employment is restricted to 1,000 hours within a 12-month period (July 1 – June 30) and does not qualify to receive City benefits, except those required by law. The City does not belong to the Social Security system. However, enrollment in an alternative retirement program is mandatory which requires an employee contribution of 7½% of base earnings to the Public Agency Retirement System (PARS). There are no rights to employment and employment may end with or without cause or advance notice. Further restrictions apply to CalPERS Retired Annuitants.
Work with the Recreation Supervisor to facilitate contract class programs that meet community needs and interests by providing educational, cultural, recreational, and/or civic experiences consistent with the City's mission and adopted plans and policies
Assist with the recruitment of volunteers and contract class instructors, and determine class placement at City facilities in collaboration with site supervisors
Prepare contract documents, ensure insurance requirements are met, assist with processing payments, help conduct contractor training, and maintain business relationships with contractors
Assist the department in conducting program evaluations, surveys, and a department-wide Program Needs Assessment
Ensure instructor business licenses, contracts, and insurance certificates are current and up to date
Serve as the department's contact for Recreation Event Sponsorships, helping to build and maintain relationships with City partners to generate sponsorship funding for community events
Input activity and section data into the recreation software system
Create name badges for contractors who have successfully completed their background screenings
Respond to customer inquiries, provide information regarding community programs, and register customers for recreational activities as needed
Assist, as needed, with creating flyers and advertisements for the SANDS
Perform other duties as assigned
Desirables
Strong understanding of recreation programming in a municipal setting
Proficient writing, proofreading, and editing skills
Ability to effectively listen and provide assistance to internal and external customers in a professional and courteous manner
Comfortable with soliciting sponsorships and donations from local businesses
Ability to quickly and effectively respond to changes in direction
Experience with and working knowledge of any recreation software, Microsoft Suite (Word, Excel, PowerPoint, and Outlook), and InDesign
College coursework in business administration, communications, or a related field is preferred

Establish and maintain effective and cooperative working relationships with those contacted in the course of work
Operate personal computer and related software
Maintain accurate records; record and retrieve information
Lift or move up to 50 pounds without assistance, as well as heavier objects with assistance
Education:
A high school diploma or equivalent certificate.
Experience : Three (3) years' directly related experience in recreation or contract class management.
Licenses/Certifications :
Must have a valid California driver's license at the time of appointment and throughout employment.
CPR/First Aid/AED certificates must be obtained within three (3) months of appointment.
SPECIAL CONDITIONS
Employees regularly assigned/required to drive a city or personal vehicle in the course and scope of work shall be required to participate in the DMV Employer Pull Notice program due to the performance of field duties that may require operation of a City vehicle.
Public Employee Disaster Service Worker:
In accordance with Government Code Section 3100, all Huntington Beach city employees are required to perform assigned disaster service worker duties in the event of an emergency or a disaster.
