Sound Union is the Peninsula’s only creative ecosystem built for serious musicians. Located at 2625 Broadway St in Redwood City, we offer our members daily access to professional studios, weekly hosted sessions, premium gear, dedicated co-working space, and a curated community of like-minded musicians and creatives.

We started Sound Union to give our members the most inviting place to pursue a life of music — and we’ve built everything around that idea. Think of us as the place where creative and professional lives come together: a client call at 2 PM, a jam session by 7 PM. Our members are rock stars at their day jobs. Here at Sound Union, we treat them like rock stars when they come to pursue their favorite pastime: making music with and for others. We’re not the only place our members play music. Role Overview
As a full-time Music Community Concierge, you are the heartbeat of the Sound Union member experience. You’re the first face members and guests see when they walk through the door — and often the last one they thank on their way out. You set the tone for what Sound Union is: elevated, welcoming, and genuinely warm. This role goes beyond front desk operations. You’ll be an active steward of our community — managing day-to-day operations through our Nexudus membership platform, nurturing member and prospect relationships through HubSpot, coordinating studio and CoWork reservations, and ensuring every touchpoint reflects the premium experience our members expect. Key Responsibilities
1. Warm Welcome & Member Experience Greet every member and guest with genuine warmth and a welcoming demeanor. Learn names, preferences, and musical pursuits — the kind of personalized attention that turns a visit into a ritual. Create a first impression (and a lasting one) that feels like Sound Union.

2. Nexudus Platform — Membership & Studio Operations You’ll be the day-to-day operator of Nexudus, our all-in-one membership management platform. Nexudus is how we run the operational heartbeat of Sound Union — from maintaining active memberships and managing billing, to tracking member preferences, facilitating daily sign‑ins, managing studio and CoWork room reservations, and supporting all community‑facing aspects of the club. Comfort with Nexudus is essential; training will be provided.

Key Nexudus responsibilities include:

Managing member profiles, billing cycles, and membership tier records

Processing studio, CoWork, and event venue reservations with accuracy and care

Facilitating daily member check‑ins and guest sign‑ins

Keeping member preferences and notes current so every visit feels personal

Supporting community announcements, bookings, and event logistics within the platform

3. HubSpot CRM — Member & Leads Communication You’ll actively maintain and work within HubSpot, our CRM for member communications and new membership leads. This means keeping the pipeline organized, logging interactions, following up with prospective members in a timely and authentic way, and ensuring our communications are consistent and on‑brand.

Key HubSpot responsibilities include:

Tracking and responding to inbound membership inquiries through HubSpot

Logging member interactions, visit notes, and follow‑up reminders

Supporting the membership sales pipeline — from first inquiry to signed membership

Coordinating with leadership on outreach sequences and lead follow‑up

Helping ensure prospects receive prompt, personalized responses that reflect Sound Union’s hospitality standards

4. Reservation Coordination Manage requests for all Sound Union spaces — music studios, CoWork areas, podcast studio, and our event venue — ensuring accurate scheduling, timely confirmation, and seamless handoffs between members and the team.

5. Membership Assistance Handle membership inquiries, applications, renewals, and tier questions. Be conversant in all membership options — Headliner, Icon Annual, and CoWork — and guide prospective members toward the plan that’s right for them. Maintain accurate records in both Nexudus and HubSpot.

6. Front Desk Management Manage incoming calls, emails, and inquiries — routing them appropriately and responding with the speed and warmth that members expect. Own the front desk as a welcoming, organized, and professional environment.

7. Concierge Services Assist members with anything that makes their Sound Union experience better — from gear questions to community introductions. You don’t need to know every answer; you just need to care enough to find it.

8. Problem Resolution Address member concerns promptly, professionally, and with genuine empathy. When something goes sideways, your job is to make it right — and make the member feel heard. Escalate to leadership when needed and always close the loop.

9. Maintaining Standards Uphold Sound Union’s standards of cleanliness, organization, and presentation at the front desk and throughout the club’s community spaces. The environment should always feel premium, welcoming, and ready.

10. Team Collaboration Work closely with the full Sound Union team — from our Founder, Investors and Tech Concierge to event staff — to ensure seamless day‑to‑day operations and a cohesive, elevated experience across the entire club.

Qualifications

Previous experience in customer service, hospitality, or member‑facing roles — experience in a premium, exclusive, or boutique environment is a plus

Warm, genuine interpersonal skills and the ability to connect naturally with a diverse, accomplished membership

A genuine love of music and an appreciation for the creative life — you understand why our members are here, and you share in it
