Marketing & Administrative Coordinator

who is passionate about storytelling, branding, client engagement, and creating exceptional experiences. This is a unique opportunity for a creative and strategic marketing professional to lead the firm's communications efforts while serving as a key ambassador for the organization. The Marketing & Administrative Coordinator will oversee branding, digital marketing, social media, and administration responsibilities

while helping create a welcoming and professional environment for clients, visitors, and business partners.

What You’ll Do
Marketing & Brand Management

Lead the firm's marketing and communications strategy to strengthen brand awareness and market presence.

Develop and manage all external communications and visual marketing initiatives.

Create engaging content for social media, email campaigns, newsletters, blogs, and the company website.

Maintain a consistent brand voice across all marketing channels.

Draft project case studies, website copy, presentations, marketing collateral, brochures, and award submissions.

Manage public relations efforts and media opportunities.

Guide leadership on social media best practices and digital engagement strategies.

Identify opportunities for sponsorships, partnerships, advertising, and community involvement.

Lead award submissions from concept through recognition.

Develop strategic communication campaigns that showcase the firm's expertise and project successes.

Client Experience & Relationship Management

Serve as the first point of contact for clients, visitors, consultants, and business partners.

Create an exceptional first impression through a welcoming and professional office environment.

Build and maintain strong relationships with clients and community partners.

Coordinate client appreciation events, networking functions, lunch-and-learns, and other business development initiatives.

Act as a liaison between leadership, clients, consultants, and internal teams when appropriate.

Support annual strategic planning and firm-wide marketing initiatives.

Office Administration

Answer incoming phone calls and greet guests professionally.

Coordinate meetings, conference rooms, and visitor schedules.

Maintain reception, conference rooms, and common areas to reflect the firm's professional standards.

Coordinate incoming mail, office supplies, deliveries, vendors, and day-to-day office operations.

Assist leadership with scheduling, meeting coordination, and administrative projects.

Participate in office culture initiatives and team-building activities.

What We’re Looking For

Architecture, Engineering, or Construction Experience:

Experience working within an architecture, engineering, or construction firm is preferred, with multifamily housing and/or senior housing experience being a strong plus.

Sales & Relationship Building:

Sales, business development, client relations, or other relationship-focused experience with strong written and verbal communication skills.

Administrative & Organizational Skills:

Strong administrative capabilities, project management skills, attention to detail, and the ability to manage multiple priorities while supporting executive leadership.

Marketing & Technology:

Knowledge of branding, social media, digital marketing, public relations, Microsoft Office, and Adobe Creative Suite, with an openness to leveraging new technologies and AI tools.
