We are currently seeking a talented Sales Coordinator who directly supports the Sales & Client Services team including but not limited to: supporting existing customers with their new service or equipment requests; supporting the Sales team in the development and construction of proposals, sales materials, customer research and preparing preliminary customer contracts and amendments for review by Sales and/or Legal team members. Along with assisting with the administrative sales process, this role serves as a liaison between the Sales, Legal, Operations and Finance departments, providing accurate sales data and reporting used by various stakeholders. This role maintains complete knowledge of sales engagements, clients and ensure accurate data flows to applicable departments and/or customers.
RESPONSIBILITIES
Supports Sales & Client Services in all stages of the sales cycle and maintains complete knowledge of sales engagements, clients and ensure accurate data flows to applicable departments and/or customers.
Creates a professional relationship with the primary points of contact for each customer assigned to this position.
Builds familiarity with the operational aspects of customers’ enterprises.
Becomes familiar with and adept at usage of Sales Team CRM system including but not limited to: entering and maintaining CRM data entry, billing notifications, sales leads tracking, assignments and status reporting
Creates Work Requests based on direction from Sales team members and/or customers.
Provides tracking/accountability for work requests from inception through closure including but not limited to: gathering information; preparing customer quotes (if applicable); preparing implementation paperwork; creating entry for project in CRM; marking entries complete (including closing any timecard entry) and conducts routine compliance checks to ensure information and attachments in CRM are accurate and complete
Assists the Sales team with proposals from including writing, designing and creating visuals along with creating and edit presentation decks.
Assists the Sales team with customer communication campaigns.
Attends various internal department meetings to gather information on existing customers’ work in progress (items/status).
Provides drafts of final contracts and/or amendments for existing and/or new customers for review by Sales and/or Legal team members.
Maintains and stores digital documents for use and for sharing with team members and leads management of customer digital files.
Provides billing instructions to Finance/Accounting for invoicing for each new agreement/amendment and assists with customer invoicing as needed.
Partners effectively with Sales team members and maintains positive working relationships with all departments.
Assists with any on-site demonstrations/meetings for visiting customers as needed.
Works closely with all team members to ensure high customer satisfaction.
Helps to triage new account inquiries from phone and email inquiries.
QUALIFICATIONS – EXPERIENCE & EDUCATION
Associates’ degree in related field
2 years of experience in Sales team environment
Proficient in Microsoft Office Suite and similar software (One Drive, Google Docs)
Effective communication (verbal and written) skills
Ability to foster and maintain customer relationships
Strong analytical and problem-solving skills
Strong interpersonal skills and demonstrates strong emotional intelligence
Highly organized and self-motivated with the ability to work independently
Willing team player and project leader
Demonstrates and maintains flexibility and adapts to changes
Professional demeanor/image at all times
Ability to maintain and improve quality results, follow standards and to recommend improved policies/procedures
