Under the Direction of the Starmax Director this role is responsible for coordinating, promoting, documenting, and evaluating events, parties, tournaments, leagues, promotions, community programs, and other special activities held at the Luna County Starmax Entertainment Complex. This position serves as the primary coordination point between customers, community partners, vendors, entertainers, and Starmax departments during the planning and execution of events. The coordinator maintains facility-wide event and promotional calendars, develops public communications and marketing materials, assists with party and event bookings, and ensures that managers and staff receive timely and accurate information. The position also tracks attendance, revenue, expenses, labor, customer feedback, and other performance measures to determine whether events and promotions are meeting established goals.

This position serves as the primary coordination point between customers, community partners, vendors, entertainers, and Starmax departments during the planning and execution of events. The position also tracks attendance, revenue, expenses, labor, customer feedback, and other performance measures to determine whether events and promotions are meeting established goals.
Examples of Duties
Essential Duties And Responsibilities
Coordinate facility-wide events and act as point of contact for scheduling and organizing such events.
Develop and maintain an annual master calendar of events, prepare regular reports, and maintain accurate party and event booking records.
Coordinate event details with the involved parties. Confirm that event layouts, food, equipment, signage, tables, chairs, audiovisual needs, decorations, supplies, and service areas are prepared before the event.
Attend and assist with events to support setup, customer service, vendor coordination, troubleshooting, and breakdown.
Identify event conflicts, scheduling issues, capacity concerns, staffing limitations, and operational risks and communicate them to management.
Complete post-event reviews and conduct follow‑up communication after events when appropriate. Prepare timely post-event content that highlights successful events, recognizes partners, and promotes future activities.
Develop and maintain a coordinated marketing and promotions calendar for Starmax activities. Schedule social media and other public communications and coordinate recurring promotions.
Prepare promotional materials for movies, bowling, restaurant and bar specials, parties, leagues, tournaments, arcade activities, miniature golf, community events, and facility-wide programs.
Create are distribute flyers, posters, digital display graphics, social media posts, event announcements, website content, email communications, press information, and other promotional materials.
Monitor public comments and questions on approved Starmax communication platforms and notify management of complaints or sensitive issues.

Typical Qualifications
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES MINIMUM QUALIFICATIONS
Education And Experience
High school diploma or equivalent.
Valid driver’s license
Experience coordinating events at an entertainment, hospitality, recreation, government, or community facility.
Ability to obtain any required food‑handler, alcohol‑server, safety, or facility‑specific certifications within the required period when applicable.
Experience using social media, office software, calendars, spreadsheets, and basic graphic‑design or promotional tools/software.

Bilingual English/Spanish preferred. Ability to communicate clearly and professionally in writing, by telephone, electronically, and in person. Ability to write, read, analyze, and interpret general business documents, safety regulations, operating instructions, and policies/procedures. Proficient in writing reports, public communications and marketing materials with clarity and professionalism. Ability to effectively present information and respond to questions from staff, management, and/or the public. verbal communication skills for handling guest inquiries, resolving conflicts, and coordinating with internal departments.
Knowledge
Knowledge of event planning, event coordination, marketing, promotions, hospitality, recreation, entertainment, and customer service. Working knowledge of local, state, and federal laws and regulations, including those from the New Mexico Alcohol & Gaming Division. Knowledge of workplace safety regulations and emergency response procedures.
Abilities
Ability to organize multiple events, deadlines, vendors, and departmental assignments simultaneously. Ability to develop detailed plans and follow projects from initial inquiry through completion and evaluation. Ability to prepare accurate public information and proofread dates, prices, schedules, restrictions, and promotional content. Ability to develop effective social media posts, flyers, advertisements, calendars, and customer communications. Ability to establish and maintain effective working relationships with customers, coworkers, managers, vendors, entertainers, community organizations, and the public. Ability to collect, organize, and interpret attendance, sales, expense, labor, and customer‑feedback information. Ability to prepare basic budgets, reports, spreadsheets, presentations, and event evaluations. Ability to exercise sound judgment and communicate concerns to management. Ability to remain calm and professional during busy events, customer complaints, schedule changes, and unexpected problems. Ability to prioritize tasks, meet deadlines, follow up consistently, and maintain accurate records. Ability to work independently while keeping management informed. Ability to use computers, email, calendars, spreadsheets, word‑processing software, presentation software, social media platforms, and basic design tools. Ability to work evenings, weekends, holidays, and irregular schedules based on event needs.
Physical Requirements
The physical requirements described below represent those that may be required to perform the essential duties of the position.
Frequently sit, stand, walk, speak, hear, reach, and use hands to operate computers, phones, office equipment, event equipment, and promotional materials. Regularly move throughout the Starmax facility, including theaters, bowling areas, restaurant and bar areas, event spaces, offices, storage areas, outdoor areas, and public gathering spaces. Remain standing or walking for extended periods during events. Occasionally bend, kneel, climb, push, pull, carry, or assist with event setup and breakdown. Regularly lift or move items weighing up to 25 pounds and occasionally assist with items weighing up to 50 pounds, using appropriate assistance or equipment when necessary. Read computer screens, printed materials, schedules, signage, and financial or attendance records. Communicate effectively in environments that may include music, crowds, kitchen noise, bowling equipment, movies, and other entertainment activity.
Work Environment
Work is performed in office, entertainment, restaurant, bar, theater, bowling, arcade, outdoor, and event environments. The position regularly works around customers, children, crowds, food and beverage service, music, flashing lights, entertainment equipment, and varying noise levels. Work may involve exposure to outdoor weather during patio events, community activities, setup, or promotional assignments. The schedule may change based on movie releases, parties, tournaments, leagues, holidays, community events, and facility needs. Evening, weekend, and holiday work is a regular requirement of the position. Must maintain professional conduct and appearance while representing Luna County.
